Job Summary:
The Maintenance Clerk is responsible for maintaining maintenance documents and parts inventory using the CMMS, purchasing ERP and document control systems. This role includes reordering parts as needed, approving suppliers, identify replacements for obsolete parts, performing inventory cycle counts, updating maintenance documents and updating the CMMS with accurate information.
Essential Functions:
- Review and compile work orders, PM tasks, and submittals from mechanics.
- Create, update, and revise work instructions and PM documents.
- Maintain and manage maintenance parts inventory. Reorder parts as necessary to maintain adequate inventory levels.
- Source and evaluate suppliers, ensuring cost-effective purchasing and timely deliveries.
- Inspect received parts and store them in designated locations.
- Collaborate with suppliers to identify suitable replacements for obsolete or discontinued parts.
- Perform cycle counts and reconcile inventory discrepancies.
- Update and manage the CMMS with accurate parts information, including part numbers, descriptions, quantities, costs and locations.
- Assist in organizing and maintaining the parts storage area, ensuring easy access and proper storage of items.
- Track the usage of parts and materials, reporting any trends or issues to the Maintenance Manager.
- Support the purchasing department with parts-related inquiries and assist in identifying sourcing opportunities.
Additional Responsibilities:
- Performs other duties and responsibilities as assigned.
Job Specifications:
- 2 years of experience in maintenance including CMMS and inventory management.
- Strong computer skills (CMMS, Microsoft Office, ERP such as Oracle or SAP) and familiarity with maintenance management processes.
- Ability to source suppliers and evaluate product offerings.
- Basic knowledge of maintenance parts and materials used in industrial or manufacturing environments.
- Excellent communication and organizational skills.
- Must communicate fluently in English and have legible handwriting
Preferred Qualifications:
- Forklift certification
Work Environment:
- Primarily office and warehouse environments.
- Some physical demands, including lifting, standing, and organizing parts.
- Occasional overtime may be required based on operational needs
