We are seeking a highly organized and proactive Executive Assistant to support members of our Global Executive Leadership Team. This role requires a forward-thinking individual with exceptional communication, time management, and problem-solving skills. The Executive Assistant will be responsible for managing the day-to-day operations of the CRO and COO’s offices and providing high-level administrative support to senior executives, ensuring seamless communication and efficient operation of the company’s leadership functions.
JOB DUTIES
- Provide comprehensive administrative support to the CRO/COO and other senior executives, including managing calendars, scheduling meetings, and prioritizing tasks
- Handle incoming communications (emails, phone calls, and messages), screen for urgency, and respond on behalf of the executive team as appropriate
- Arrange complex domestic and international travel itineraries, including flights, accommodations, transportation, and other logistics, ensuring efficiency and cost-effectiveness
- Schedule, organize, and prepare for meetings, including gathering materials, preparing agendas, and taking meeting minutes. Assist in planning company events, conferences, and board meetings
- Support the execution of company initiatives by tracking project timelines, deliverables, and coordinating resources as needed
- Draft, proofread, and edit correspondence, presentations, and other documents, ensuring accuracy and clarity
- Handle sensitive and confidential information with the highest level of professionalism and discretion.
- Assist in streamlining processes and identifying opportunities for improved efficiency within the leadership team’s operations
YOU MUST HAVE
- 3 years of Executive Assistant or related administrative experience
- Proficient with all Microsoft Office applications
- Strong organizational and critical thinking skills with attention to detail
- Ability to handle multiple tasks simultaneously and prioritize effectively in a fast-paced environment
- Ability to work successfully with leadership team
WE VALUE
- Intermediate skill level using Microsoft Excel and PowerPoint
- Prior experience in the technology or distribution industry is a plus
- Experience managing executive travel logistics and budget
