The Administrative Assistant will support the corporate office and executive team in the day-to-day management of the corporate office and executive team schedules. Strong organizational skills, attention to detail, and multitasking are essential for this role.
KEY RESPONSIBILITIES
- Maintain all office policies and procedures and ensure compliance with current organizational and government regulations, laws, and ethics.
- Support Executive Team including calendars (committee and other corporate meetings) and travel.
- Responsible for maintaining lease contract schedule; monitors and tracks lease renewal deadlines and ensure timely follow-ups.
- Oversee the administrative operations of the Corporate Office and maintain its appearance.
- Greet all Home Office visitors and ensure they are routed to the appropriate person.
- Plan, schedule and cater all events at corporate office including meetings, company dinners, holiday party, and holiday lunches
- Support with companywide communication, marketing, and event planning.
- Must be able to independently draft, edit, and proofread internal communications.
- Must be able to manage distribution lists and communication schedules
- Must be able to work well with multiple departments to ensure timely and accurate messaging.
- Manage mail (incoming/outgoing), FedEx and UPS
- Act as liaison with Building Property Management for maintenance issues (lights, HVAC, carpeting, etc.)
- Manage Corporate Office Budget and inventory.
- Work with other departments to assist with special projects on an ad-hoc basis.
- Maintain confidentiality.
- May support operations centralized services on an as-needed basis (e.g., patient-facing calls, collections, medical records, etc)
- Other duties as assigned.
QUALIFICATIONS
- High school diploma required; Associates preferred.
- Notary at time of hire or within 6 months of hire/transfer required.
- Proficient in MS Office Suite – PowerPoint, Excel, and Outlook (scheduling Assistant and resource availability proficiency a must)
- Demonstrates pleasant demeanor and excellent customer service experience.
- Previous experience in event/meeting planning required.
- Strong written and verbal communication skills
- Basic knowledge of marketing and branding principles is preferred.

WORK ENVIRONMENT
- Working onsite as determined by operational need.
- Works remotely from home with designated workstations.
- Possible heavy lifting of mailing packages
- Must wear PPE as needed.
- Prolonged periods of time sitting in front of a computer
- Frequent telephone usage and video conference calls
Compensation Offered (negotiable, dependent upon experience):
Hourly - Hourly Plan, 25.75 USD Hourly
