The Part-Time Events Coordinator will support the Office of the President by managing all logistics related to university-hosted events, conferences, and engagements. This position plays a critical role in ensuring the seamless execution of high-profile events that reflect Adler University’s mission, reputation, and commitment to excellence. The Events Coordinator will serve as a key liaison for internal stakeholders and external guests, overseeing all phases of event planning and on-site execution, with a focus on events involving Adler stakeholders, external partners, and the broader community.
Education/Experience:
- Bachelor’s degree in Event Management, Hospitality, Communications, or a related field preferred.
- Minimum of 2 years of experience in event planning, preferably within higher education or nonprofit organizations.
- Proven experience planning and executing conferences with large attendance.
- Strong organizational, interpersonal, and problem-solving skills with the ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite and event management tools.
- Experience supporting high-profile events for executive leadership, university administration, and strategic partners.
- Familiarity with university operations, scheduling systems, and vendor management practices.
Certifications/Licenses:
- None required. Event planning or project management certifications (such as CMP or PMP) preferred.
Essential Duties & Responsibilities:
- Manage all aspects of on and off campus events as the primary point of contact for internal and external clients.
- Coordinate event logistics including calendar scheduling, information gathering, food and beverage orders, event set up and logistics, technical needs in partnership with IT.
- Facilitate external partnerships by managing rental applications, cost proposals, contracts, and vendor communications.
- Attend events to oversee operations, address real-time issues or emergencies, and ensure smooth execution of all contractual obligations and arrangements.
- Collaborate with the Accounting Department to monitor event-related expenditures, invoicing, and budget reconciliation.
- Partner with the Facilities Coordinator to manage on site event and/or meeting room set-ups.
- Assist with guest check-in, badge printing, and coordination with Security as needed.
- Assist in vendor management including caterers and other hospitality needs; handle order placements and process invoices.
- Uphold Adler’s commitment to hosting events that are welcoming, inclusive, and mission-aligned.
- Develop and manage event timelines, budgets, and post-event evaluations.
- Create and distribute event materials such as invitations, programs, and briefing documents.
- Maintain the President’s Office events calendar and track RSVPs.
Work Environment (Physical Demands): The usual and customary methods of performing the jobs functions require the following physical demands: some lifting, carrying, pushing, and/or pulling and significant fine finger dexterity. This job is performed in a generally clean and healthy environment.
Willingness and availability to work flexible hours, including evenings and weekends, as event schedules require.
Anticipated Compensation: $20.00-$24.00 Hourly
