TITLE: Federal Programs Secretary
EMPLOYMENT TERMS: Twelve (12) Months
SALARY CLASSIFICATION: Classified Salary
General responsibilities:
- Establish a smooth and efficient operation of the Federal Projects office
- Maintain a positive relationship with parents, students, staff and community members.
- Work to achieve a positive working relationship with administration and staff from other department and RMUSD Schools.
- Handle multiple tasks at one time.
Summary of essential job functions: Provide clerical and secretarial support of superintendent and Federal Program staff
- Providing visitors with accurate and appropriate information and directs them to the proper area or personnel;
- Operating at an expert level office machines such as computer, copier, and postage machines;
- Preparing correspondence, memos, minutes of meetings, and files; Maintains both general and confidential filings: Answers and distributes mail and correspondence;
- Scheduling and arranging meetings, make travel arrangements;
- Preparing and recording purchase requisitions, receives and distributes supplies and equipment, maintains inventory of supplies;
- Maintaining staff calendars, leave records; and other assigned personnel records;
- Under direction, collecting data required for both internal NAD external reports such as LEP records; assists with preparation and dissemination of reports;
- Supporting and implementation of assigned Federal, Tribal, State, and local programs such as ordering and distributing Tribal Clothing;
- Representing the Director and Programs at assigned meetings;
- Other appropriate related duties as assigned by supervisor
Ability to:
- Operate multiple telephone switchboard
- Correct English usage, spelling, grammar and punctuation
- Mathematical and computational processes
- Basic office procedures
- Knowledge of budgets, USFR
- Knowledge of Federal Program requirements
CERTIFICATION: Arizona Fingerprint Clearance Card
SKILLS REQUIRED: Typing at 50 wpm, computer spreadsheet and word processing; operation of office equipment; both written and verbal communication skills, fluent in verbal and oral Navajo Language,
Statistic analysis skills.
KNOWLEDGE REQUIRED: Basic office procedures, knowledge of budgets, USFR,
QUALIFICATIONS:
EDUCATION: High School diploma, or equivalent. Navajo Language Literate.
EXPERIENCE: One to three years.
SUPERVISION: Must use own initiative and judgment.
RESPONSIBILITY: Access to confidential records, maintaining positive community/school relationship, meeting State, Federal, and Navajo Nation deadlines.
LICENSE: None.
PHYSICAL REQUIREMENTS: Must be able to operate office equipment and computer.

POSITION EXPECTATIONS
