Responsibilities

  • Manage and rout phone calls appropriately, including taking messages
  • Perform data entry tasks with a high degree of accuracy to maintain databases and records.
  • Handle and process incoming and outgoing mail, including email and physical correspondence.
  • Create, maintain, and update filing systems, both electronic and physical, for efficient document management.
  • Provide front-desk services, greeting visitors, and directing them to the appropriate contacts.
  • Perform basic bookkeeping tasks and issuing invoices, and other financial documents.
  • Support other staff with various administrative tasks, including copying, scanning, and faxing documents.
  • Ensure the confidentiality and secure handling of sensitive information.

Skills

  • Technological proficiency - Familiar with office software such as Word, Excel, and email platforms
  • Attention to Detail – Ensure all information is correct, forms are filled out properly, and records are properly maintained.
  • Ability to lift 25lb
  • Ability to multi task
  • Communication – Bi-Lingual (English / Spanish) with the capacity to work harmoniously within a team setting.

  • Summary

    Ideal candidate will have a combination of administrative and accounting / bookkeeping experience. Must be punctual and reliable. Hours are Monday through Friday 7 : 00 am to 3 : 30 pm. Bilingual English / Spanish (conversational Spanish ok). Family-owned business, has been in business for over 35 years.
