What are the responsibilities and job description for the Legal Assistant position at Administrative Office of PA Courts?
The AOPC Legal Department is looking for a highly motivated and detail-oriented individual with excellent multi-tasking abilities to join our team as a Legal Assistant. This pivotal role is essential for ensuring the efficient operation of the Legal Department. As the Legal Assistant, you will be the primary point of contact for specific key administrative tasks and will play a vital role in supporting the attorneys. Responsibilities include scheduling meetings, communicating with AOPC partners, and preparing legal documents as needed.
Job Duties
- Performs various tasks related to handling sensitive documents. Prepares correspondence to law enforcement officers and judicial officers regarding these sensitive documents. Maintains a database to track these activities.
- Provides administrative support to the Chief Counsel, Deputy Chief Counsel, six staff attorneys, and two legal interns by screening incoming calls, greeting and directing visitors, managing supply orders, printing envelopes and labels, and coordinating travel, training, and CLE reservations.
- Supports the legal team by typing, formatting, and proofreading correspondences and memos. Organizes files, conducts research, schedules meetings, and formats presentations in PowerPoint.
- Prepare materials for meetings and reserves conference rooms, vehicles, and office equipment
- Assists in the preparation and review of legal documents.
- Updates and maintains the legal department's lists, manuals, reference materials, and other resources.
- Assists in processing requests and preparing correspondence to summon jurors for Grand Jury participation as needed.
- Assists Legal Interns in reviewing and responding to inmate correspondence.
Minimum Qualifications
- Bachelor’s degree PLUS
- One year of experience as a responsible administrative staff member in a legal office.
- An equivalent combination of education, experience, and/or training may be considered.
Additional Requirements
- Satisfactory criminal background check required.
- Knowledge of Microsoft applications required.
