Description: The Benefits and Administrative Support Specialist provides essential administrative and operational support to various departments within the school district's central office. This role is responsible for assisting with enrollment processes, benefits administration, data management (including EMIS), and supporting the Treasurer’s office. The ideal candidate is organized, detail-oriented, and able to collaborate across multiple teams to ensure the efficient operation of the district’s central office.
Essential Duties and Responsibilities
- Ensure safety of students, taking all necessary and reasonable precautions to protect students, equipment, materials, and facilities.
- Handle routine correspondence independently
- Maintain respect at all times for confidential information, e.g., personnel files, insurance eligibility
- Interact in a positive manner with staff, students and parents
- Attend meetings and in-services as required
- Attend conferences, seminars, and presentations to enhance professional development in the areas of benefits management, district insurance protection, and fixed assets management
- Respond to routine questions and requests in an appropriate manner
- Administer the district health, dental and life insurance programs for employees maintaining all forms, roster files, records and reports
- Enroll all new employees in the district insurance programs; maintain changes in status coverage and eligibility including COBRA enrollment
- Administer district Section 125 Cafeteria plan and submit Federal IRS form 5500 annually
- Prepare and make available Employee Benefits booklets
- Calculate and submit for payment all monthly medical, dental and life insurance premiums making adjustments, additions and deletions as necessary
- Serve as voluntary student accident insurance program contact
- Administer the district fixed assets inventory system tracking purchases, issuing tags, maintaining computer records, and submitting information for yearly updates
- Process and prepare all 1095Cs
- Complete yearly open enrollment procedures for employee insurance enrollment.
- Administer the district property, fleet and liability insurance filing claims, contacting adjusters and maintaining all records, reports, policies and forms
- Prepare and submit requisitions premium payments, and services as necessary
- Assist with student enrollment in the district’s systems during peak enrollment times.
- Collaborate with the EMIS Coordinator to prepare reports, collect necessary data and resolve discrepancies for submissions.
- Assist the Treasurer’s office with administrative and operational tasks as needed.

Knowledge
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
- Knowledge of principles and processes for providing customer and personal services.
- Knowledge of district software and computer applications.
- Knowledge of various school laws
- Knowledge of various insurance programs including health, dental, vision.

Minimum Qualifications
- Less than five years related experience
- Associates degree or higher in Business Administration, fiscal management, or related field preferred
- Satisfactory completion of BCI and FBI background check
- Such alternative(s) to the above qualifications as the superintendent and/or the board of education may find appropriate.

- Required to have dexterity of hands and fingers.
- Specific vision abilities required include close vision and ability to adjust focus.
- Required to stand or sit for extended periods of time.
- Regularly required to bend at the waist, kneel, crouch, reach, climb and stretch with hands and arms.
- Required to report to work on all scheduled workdays.
- Frequently required to push, pull, lift, or carry various supplies and materials up to a maximum of 25 pounds.
- Frequent repetitive hand motion, e.g., typing, computer work.
- Occasionally required to speak and hear.
