Advance Industrial Mechanical - Savannah is seeking a skilled and organized HVAC Service Dispatcher to join our team. This individual will play a vital role in ensuring the efficient scheduling and coordination of HVAC service technicians. As the HVAC Service Dispatcher, you will be responsible for managing service requests, dispatching technicians to various locations, and maintaining clear communication between customers, technicians, and management.
Requirements:- Receive and manage incoming service requests from customers via phone, email, or online portals.
- Prioritize and schedule HVAC service appointments based on urgency, technician availability, and geographic location.
- Assign service orders to appropriate HVAC technicians, considering their skill set and workload.
- Coordinate and dispatch technicians to job sites, optimizing routes and minimizing travel time.
- Monitor the progress of ongoing service appointments and update customers on expected arrival times.
- Maintain constant communication with HVAC technicians to ensure they have the necessary information, tools, and parts for each job.
- Address and resolve any scheduling conflicts or delays, keeping customers informed and satisfied.
- Document and log all service requests, assignments, and technician activities accurately in the system.
- Collaborate with management to optimize scheduling efficiency, resource allocation, and customer satisfaction.
- Provide exceptional customer service by responding to inquiries, addressing concerns, and ensuring timely follow-ups.
- Keep track of equipment inventory and order necessary parts and supplies for upcoming service appointments.
- Assist in generating reports related to technician performance, service completion, and customer feedback.
Qualifications:
- High school diploma or equivalent; additional relevant certifications or education is a plus.
- Proven experience in dispatching or scheduling roles, preferably in HVAC or a related field.
- Excellent organizational and multitasking skills, with the ability to manage a high volume of service requests.
- Exceptional communication skills, both written and verbal, to interact professionally with customers and technicians.
- Proficiency in using dispatching software, scheduling tools, and customer relationship management (CRM) systems.
- Ability to remain calm and composed in high-pressure situations, making quick decisions to resolve scheduling challenges.
- Detail-oriented mindset to accurately record information and maintain updated records.
- Customer-focused attitude with a commitment to delivering outstanding service and resolving issues promptly.
