We provide HVAC and Plumbing services specializing in commercial, healthcare, and tenant buildout projects. We are currently seeking a motivated and detail-oriented Assistant Project Coordinator to join our team at our Arlington Heights Office.
Job Summary
The Assistant Project Coordinator will provide critical administrative and operational support to the construction operations team ensuring the successful execution of projects. This role involves assisting with project documentation, coordinating with subcontractors and vendors, and supporting project workflows to maintain schedules and budgets.
Key Responsibilities
- Assist project managers in the coordination and tracking of various projects.
- Utilize construction management software to maintain project documentation and track progress.
- Prepare and manage subcontracts, purchase orders, and change orders.
- Communicate effectively with subcontractors, vendors, and internal teams through phone, email, and in-person interactions.
- Coordinate with accounting to track project spending and ensure budget alignment
- Assist with project close-out processes and organize completed project documentation.
- Compile and manage construction-related requests for information (RFIs) and ensure timely resolution.
- Support day-to-day administrative tasks, ensuring accurate and timely documentation.
Qualifications
- High school diploma or equivalent required; technical training or relevant certifications are a plus.
- 1-3 years of administrative or construction-related experience, preferably in project coordination.
- Strong computer skills, including proficiency in Microsoft Word, Microsoft Excel, and Bluebeam; experience with construction management software is a plus.
- Excellent organizational and multitasking abilities.
- Clear and effective written and verbal communication skills.
- Familiarity with financial and project management principles.
- Ability to work under pressure, meet deadlines, and coordinate multiple tasks simultaneously.
- Ability and eagerness to learn construction techniques and methods.
Pay Scale
$40,000.00-$50,000.00 annualized salary. Actual salary to be determined based on experience, education, and skill set. This position is eligible for an annual discretionary bonus.
