Duties & Responsibilities
- Review and monitor current administrative practices to include organizational culture, operating structure and needs, documentation, and available data and systems.
- Work with stakeholders to jointly develop a preliminary Performance Improvement Office Workflow plan Define a set of workflows and processes that reflect organizational goals and objectives as well as best practices.
- Monitor and coordinate process workflows and assist in resolving issues across multiple functional areas.
- Review and edit draft correspondence in accordance with DODM 5110.4-M (Manual for written material) ensuring the dissemination of correspondence to proper recipients. Track the status and dissemination of the prepared correspondence to assigned recipients.
- Implement and maintain an organizational recordkeeping system Army Records Information Management System (ARIMS) as required by AR 25-400-2 on an on-going basis.
- Review Group business, report scheduling conflicts, and organize scheduled meetings for the Director, Performance Improvement Office.
- Coordinate meeting times and locations between meeting attendees.
- Post daily business for the Office Group preview and coordination.
- Review meeting materials required to conduct the meetings and provide recommended edits to Government officials. Provide the prepared materials (read-aheads), to all attendees.
- Provide support to coordination of meetings and agenda to include:
o Administrative support during the conduct of the meetings.
o Organization and programmatic support to ensure required documentation is properly compiled and distributed.
o Draft and distribute the actions from minutes of meetings. Monitor, track and follow-up on the status of each item or action sent for staffing or coordination.
- Provide event planning process to include planning, coordinating and collaborating with stakeholders details such as venue identification, invitee list, special guests, equipment, décor, printing and designing materials, and transportation. Monitor events and provide problem solving process for any emerging problems on the event day.
- Provide summary reports to the Director, PIO & COR of events outlining pre- and post-event evaluations, detailing how data was gathered and how it can be used to develop successful future events within 30 days of conclusion of the event.
- Required Qualifications*
o 5 Years professional office management experience in support of DoD operations
o Strong computer skills to include Microsoft Office
o Strong organizational skills.
o Excellent verbal and written communication with a variety of audiences at all levels of the organization.
o Pass a favorable National Agency Check (NAC) with inquiry. Possess and maintain a SECRET security clearance.
o Shall be a U.S. citizen
o Possess appropriate training and experience to perform all required functions.
