The Cosmetic Concierge Coordinator assists patients in navigating the aesthetic process and serves as a liaison between them and the providers. Key responsibilities include building strong relationships, delivering exceptional customer service, scheduling appointments, and educating patients on our products and services.
This role ensures that patients feel informed and supported throughout their journey, from initial inquiries to post-procedure follow-ups. The coordinator promotes loyalty programs, manages sales, and sells medical-grade skincare products when applicable

Job Description:
As a Cosmetic Concierge Coordinator, you will be the maestro behind our patients' aesthetic journeys. You will work closely with our cosmetic providers and support staff to ensure seamless cosmetic procedures and treatments. Your mission is to make every patient feel like royalty from the moment they walk through our doors until they leave with a smile.
Responsibilities:
- Welcome patients with a warm and friendly demeanor.
- Daily inbound and outbound calls to patients to assist in preparation for booked patient’s upcoming appointments and will also make additional outbound calls as needed for events, promotions, appointment requests etc.
- Provide detailed information on treatments, pre-care, and post-care instructions.
- Educate patients on skincare products and recommend appropriate products.
- Assist in maintaining a clean and organized cosmetic treatment area.
- Follow up with patients to assess their satisfaction and address any concerns.
- Continuously stay updated on the latest cosmetic dermatology trends and treatments.
- Responsible for coordinating, supporting and driving sales for any aesthetic event, including but not limited to daytime events, skincare events, virtual sales, evening open houses
- Complete and assist in end of the month Inventory count.
- Assist in Patient concerns or complaints.
- Other duties as assigned
Education and Experience Requirements:
- 2 years of customer service experience (spa, salon, or healthcare setting preferred)
Knowledge, Skills and Abilities Requirements:
- Passion for cosmetics industry
- Detail oriented, professional attitude, reliable
- Reliable, yet flexible and adaptable.
- Excellent written and oral communication skills.
- Empathy and respect when dealing with our patients and vendors
- Must demonstrate a consistent level of excellent problem-solving skills.
- Strong knowledge of retail product lines and cosmetic procedures, and ability to communicate and/or support the patient education process in office.
- Heightened awareness of patient privacy, discretion, and HIPAA around patient procedures. Able to communicate effectively in English, both verbally and in writing
