Purpose:

The Accounting Administrative Assistant provides support to the accounting and finance department by handling administrative tasks, assisting with financial recordkeeping, and ensuring the smooth operation of day-to-day accounting functions. This role helps maintain accurate financial data, supports reporting, and improves efficiency in the department.

Responsibilities:

General Accounting Support – Assists with processing accounts payable and receivable transactions, including data entry and verification, prepares and sends invoices, follows up on outstanding payments, and maintains payment records. Reconciles bank statements and assists in resolving discrepancies.

Administrative & Clerical Tasks – Organizes and maintains financial records, ensures proper filing and documentation, prepares and distributes financial reports, spreadsheets, and presentations as needed, handles incoming and outgoing correspondence related to financial matters to include invoices, statements, collection efforts, etc.

Payroll & Expense Management – Assists in payroll processing by verifying timekeeping records and updating information to ensure a smooth payroll process, follows up on employee expense reports, ensures proper documentation.

Compliance & Reporting – Supports the preparation of financial statements and regulatory filings, assists in gathering documentation for audits and compliance reviews, ensures confidentiality and accuracy in handling sensitive financial information.

Office & Departmental Support – Coordinates meetings, schedules appointments, and assists in internal communication within the accounting and finance department, maintains office supplies and orders necessary materials for accounting operations, provides general administrative support to accounting and finance team members as needed.

Other – Other duties, roles and responsibilities as assigned.

Knowledge & Skills:

Basic understanding of accounting principles and financial transactions.

Proficiency in Microsoft Excel, Word, and accounting software (e.g., QuickBooks, NetSuite or similar).

Strong organizational skills with attention to detail.

An ability to handle confidential information with integrity.

Excellent communication and interpersonal skills with a pleasant disposition.

Strong time management and multitasking abilities.

Physical Requirements:

Ability to sit for extended periods at a desk and use a computer. Minimal physical exertion is required.

Capacity to lift, carry or transport materials and equipment thirty (30) pounds or more.

Qualifications:

Associate’s degree in Accounting, Business Administration, or a related field.

1 – 2 years of experience in an administrative or accounting support role.

Experience with financial data entry and recordkeeping.

Familiarity with payroll processing and expenses management is a plus.

Experience working in industrial or manufacturing environments a plus.
