SUMMARY:
The Personnel Assistant performs a variety of military personnel actions in support of Reserve Component Soldier mobilization and demobilization processing, such as: reviewing/requesting military orders; compiling/editing electronic and hardcopy personnel files; producing accurate and complete discharge documents for active-duty service. This is a civilian position that does not require enlistment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
To perform this job successfully, an individual must be able to perform each of the essential duties and responsibilities listed in a satisfactory manner:
- Perform all installation level personnel processes related to mobilization and demobilization records and data management.
- Review and screen various military orders for Reserve Soldiers' federal mobilization
- Review insurance and emergency data records, as well as assist Soldiers with updates.
- Complete and submit request for orders, as needed.
- Review the Integrated Personnel and Pay System – Army (IPPS-A) and Mission Analysis Readiness Resource Synchronization (MARRS-N) databases upon receipt of deployment packets.
- Ensure all approved documents pertaining to each Soldier are filed in his/her individual deployment packet and uploaded in iPERMS.
- Update the Installation Support Modules (ISM) and prepare DD Form 214 worksheets.
- Maintain 100% accountability of all Reserve Component mobilization and demobilization records.
- Prepare, log, file and distribute orders for National Guard and Reserve deploying and demobilizing Soldiers. These orders include but not limited to extension orders, amendment revocations, attachments and releases from attachment.
- Prepare and review DD Form 214, DD Form 220, and REFRAD orders during the demobilizing process using ISM.
- Prepare packets for early release from active duty
SUPERVISORY RESPONSIBILITIES: None.
QUALIFICATIONS:
The requirements identified below are representative of the knowledge, skills and/or abilities required to satisfactorily meet the expectations of this job:
- Must be able to operate a Personal Computer (PC) with a functional knowledge of Microsoft Office Applications (primarily Microsoft Word, Excel, Outlook, Power Point and Windows graphical user interface) and Data/web-based systems required for task area performing work.
- Must have a working knowledge of Army rank structure and military unit relationships (e.g., Company, Battalion, Brigade, Division, etc).
- Must be able to work under stressful conditions and be physically able to demonstrate the training/support tasks to standard.
- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Monitoring/Assessing performance of yourself, other individuals, or organizations to make improvements or take corrective action.
- Considering the relative costs and benefits of potential actions to choose the most appropriate one.
- The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem only recognizing there is a problem.
- The ability to apply general rules to specific problems to produce answers that make sense.
EDUCATION and/or EXPERIENCE:
At a minimum, possess a High School Diploma or GED Equivalent. Preferred minimum 2 years administrative military personnel experience. An equivalent combination of education and experience as identified above.
LANGUAGE SKILLS:
Must be able to speak, read, write, and understand English. Ability to read, comprehend and explain instructions, letters, memos, emails and correspondence from inside the organization as well as from external sources. Ability to effectively respond, communicate and present information to clients and other employees in the organization.
CERTIFICATES, LICENSES, REGISTRATIONS: Preferred HR Professional certification completed in IPPS-A.
