Advantage One Escrow, Inc., an established and fast paced escrow office in Huntington Beach, Ca servicing the real estate industry, lending industry and southern California communities is seeking and Office Administrator and First Impressionist to undertake administrative tasks ensuring the rest of the team has support to work efficiently and our customer base feels welcome, secure and well served.
This role reports directly to the Office Manager and assists with operations, customer record management, data entry, daily accounting reconciliation, customer service and more. The ideal candidate will be competent in prioritizing and working with little supervision. He/she will be an outgoing, friendly, self- motivated, trustworthy team player able to thrive in a fast-paced work environment.
Essential Functions:
- Coordinate Office activities and operations to secure efficiency and compliance with company policies
- Answer inbound phone calls and distribute messages accordingly
- Manage general office correspondence and mail (emails, letters, packages, deliveries incoming and outgoing)
- Handling bank deposits, support account reconciliation and bookkeeping procedures
- Maintain physical appearance of office space and storage facilities
- Ordering and Maintaining Office supplies
- Draft e-mails and enter information into our database
- Assist the Office Manager and the other escrow units as needed
- Assist with event coordination and other tasks as needed
- Outstanding Checks Maintenance Monthly
- Franchise Tax Withholding Processing
- Perform all other office tasks as required
Qualifications:
- 1 year proven experience as an office administrator or relevant role
- Outstanding verbal and interpersonal skills
- Knowledge of office management procedures and basic accounting principles
- Excellent computer skills (E-mail , word, Excel, etc)
- Excellent organizational, planning, and time-management skills in a fast-paced environment
- Ability to multi-task, determine priorities, and problem solve
- Detail-oriented
- A positive, can-do attitude and a willingness to jump in wherever needed day- to- day
- Friendly
- Must have professional appearance
- Must respect the company’s time regarding attendance and performance
