Role Overview
As our Executive Support Specialist/ Operations Coordinator, you'll be the digital backbone of our operations, orchestrating everything from student communications to course management. This role is perfect for a tech-savvy professional who thrives on organization and loves the intersection of outdoors and education.
Key Responsibilities
Course Management
- Create and manage course documentation including rosters, web listings, and social media content
- Track student progress in online modules
- Coordinate pre-course communications through automated and personalized channels
- Develop course guides and promotional materials
- Process course completions and certificate distribution
- Handle CME submissions
- Monitor and follow up on incomplete online modules
- Maintain accurate student records
Digital Communications
- Manage multiple email accounts (Info, WMU, student communications)
- Coordinate through various platforms (Mailchimp, Insightly CRM)
- Maintain website content (WordPress)
- Leverage AI tools for content creation and process optimization
Required Qualifications
- High school diploma/GED minimum (bachelor’s degree or associates degree preferred in Business, Communications, or related field)
- 2 years of administrative and/or operations experience
- Proven expertise with:
- Google Workspace
- Digital marketing tools (Canva, Mailchimp)
- CRM systems
- Learning Management Systems
- Spreadsheet management
- AI tools for workflow optimization
