Client Service Specialist
Location: The Woodlands, TX
Company Overview: Our dynamic, fast-paced financial planning firm, Outlook Wealth Advisors in The Woodlands, TX, is looking to expand our Operations team. We currently serve approximately 550 fee-paying clients with an average investable net worth of about $750K, with around 50% of our clients having over $1 million. We are on track to double our new client intake within the next 12-18 months. Our operations team is led by an experienced operations manager and includes three seasoned client services specialists. We are seeking to add another client service specialist to replace a current client service specialist who will be retiring soon.
Job Description: As a Client Service Specialist, you will play a crucial role in our operations team, interacting directly with clients and ensuring their needs are met with the highest level of service. You will be responsible for managing client requests, maintaining accurate records in our CRM system, ensuring the confidentiality of client information and onboarding new clients. Your role will also involve supporting the operations manager and other team members in various tasks to ensure smooth and efficient operations.
Key Responsibilities:
  • Interact directly with clients, providing thorough and personalized service.
  • Document all client interactions in our CRM (Salesforce).
  • Ensure confidential client information is transmitted securely and only to authorized individuals.
  • Assist in the onboarding of new clients, including account opening and incoming transfers.
  • Update weekly incoming transfer and completed new business reports.
Requirements:
  • A team player who is flexible, enthusiastic, and dedicated to providing exceptional service to our clients.
  • Must be a problem solver, can figure things out, take initiative, be resourceful and present solutions.
  • Have a willingness to learn about financial topics to be able to explain them to clients in a manner that they understand.
  • Strong organizational skills and time management skills.
  • Ability to manage a high-volume workload with attention to detail.
  • Excellent written and verbal communication skills.
  • Able to work independently with minimal supervision.
  • Experience with MS Office Suite (strong Excel skills required) and the ability to learn new software quickly.
  • Minimum of 3 years of experience supporting a financial advisor in a fast-paced office environment in the Operations department or similar experience.
  • College degree preferred (Associates or BA degree).
  • Experience working with large brokerage firms like Fidelity is a plus.
  • Ability to pass a FINRA and financial background check and drug testing.
Salary:
  • $60,000-$70,000
Hours:
  • M-F
  • 8am-5pm (flexible hours)
