What are the responsibilities and job description for the Board & Executive Events Manager position at Advocate Aurora?
The Event Manager will support the Board Relations & Events Director by assisting in planning, executing, and managing events and meetings for board members, executive leadership, and external partners. This position requires strong organizational skills, excellent communication, and a proactive approach to board management, event logistics and stakeholder engagement.
Major Responsibilities:
- Develops and implements plans for events, including board meetings.
- Oversees event logistics, such as venue selection, catering, AV needs, lodging, travel and transportation arrangements.
- Creates event timelines and run-of-show schedules.
- Works directly with operational and other event planners as appropriate for seamless coordination and execution.
- Ensures timely communication, working with the Director of Board Relations and Events. Works directly with Executive, Corporate and Human Resources Communications as appropriate.
- Manages event budgets and ensures cost-effective planning.
- Assigns and coordinates staff responsibilities.
- Conducts meeting surveys, manages financial reporting, and ensures invoice payment.
Licensure, Registration, and/or Certification Required:

Education Required:
- Bachelor’s degree in event management, marketing, or a related field.
Experience Required:
- Typically requires 5 years of professional experience in event planning, project management, or related roles.
Knowledge, Skills & Abilities Required:
- Strong organizational and time management skills.
- Excellent oral and written communication, with proven presentation abilities.
- Proficiency in Microsoft Office Suite and familiarity with board management tools (e.g., Diligent).
- Ability to manage multiple projects, meet deadlines, and work independently.
- Flexibility to work evenings, weekends, and holidays as required.
Physical Requirements and Working Conditions:
- Valid driver’s license and willingness to travel as needed.
- Operates all equipment necessary to perform the job.
- Exposed to a normal office environment.
