What are the responsibilities and job description for the Scheduling Analyst position at Advocate Aurora?
Major Responsibilities:
- System Design and Management
- 1)Participates in the design and development of internet capability to enhance scheduling and pre-registration within the parameters of Advocate’s technological initiatives.
- 2)Develops patient and staff instructions that support the scheduling tasks so that we deliver efficient and accurate patient appointments.
- 3)Identifies and evaluates customer needs and creates, implements, and monitors resulting action plans for improvement.
- 4)Builds, customizes and maintains the scheduling database to fit clinical departments’ requirements, performs department interviews, observation and process documentation. Performs system demonstrations and completes all preparatory work necessary for implementing new modalities. Documents scheduling procedures through observation, develops implementation timelines.
- 5)Prepares project plans, estimates schedules and resource requirements related to Patient Access scheduling system; plans work for others, directs and monitors the work, including staff and vendors.
- 6)Coordinates routine requirements definition, configuration and installation of scheduling updates; participates in execution of new tests.
- 7)Serves as point person for project communication by providing status reports by project or application.
- Analytical & Technical Customer Support
- 1)Identifies system issues, troubleshoot and resolves where possible and reports up via chain of command for issues that can not be resolved without outside resources and support
- 2)Collects, analyzes, and reports results from scheduling data. Recommends action plans and deployes strategies to improve patient experience and accurate outcomes.
- 3)Coordinates system installs, upgrades, and downtime, communicating with vendors, staff, and Information Systems.
- 4)Act as liaison to internal and external department customers; provide prompt evaluation of problems with scheduling system. Identifies and resolves or reports problem findings.
- 5)Monitors system effectiveness and/or performance utilizing system reports and problem logs, identifies potential problems and independently acts to resolve them.
- 6)Provides quality customer service by challenging current processes, and collaboratively developing new methods and processes.
- 7)Monitors departmental data quality and productivity and provides leaders with information from the scheduing system regarding efficiency opportunities and recommendations for change.
- 8)Determine test variables, scheduling conflicts and testing sequencing using protocols established by the testing department.
- Training & Education
- 1)Provides system technical and analytical education and process design guidance to staff during system implementation, workflow change, and ongoing operations.
- 2)Creates, implements, and assesses Central Scheduling training and orientation. Receives and utilizes input from testing departments for development of effective workflow.
- 3)Directs and coordinates daily activities related to information system usage: monitor service levels via patient, clinician, clinical testing department complaints and observation of work.
- 4)Complete department quality reviews and provide support, and education on the scheduling system
- 5)Facilitate open discussion with clinical department staff and observes department pocedres to dvevelop acccurate and optimal scheduling guidelines.
- Continuing Information Systems Education
- 1)Continually improves technical and professional skills
- 2)Understands and maintains a thorough knowledge of business operations and department goals
- 3)Maintains awareness of health care environment and information systems technology changes and the potential impact on Patient Access processes
Education/Experience Required:
- Bachelor's in Business or Computer Sciences or equivalent experience generally accomplished by 4 or more years in a healthcare environment 4 years related experience Project management/systems implementation experience
Knowledge, Skills & Abilities Required:
- •Advanced PC skills •Supervisory /leadership experience •Good communication and interpersonal skills. •Technical, analytical skills. •Knowledge of hospital automated systems and process. •Ability to function effectively on a collaborative team •Customer service oriented •Detail oriented with ability to meet ongoing training needs of staff
