Position: Surgical Material & Supply Liaison
Location: Advocate Support Center
Full Time; 1st Shift
~Monday-Friday, 7am-3:30pm
Major Responsibilities:
- Maintains inventory systems for surgical services
- Works closely with the Purchasing and Receiving Department ensuring orders and deliveries.
- Collaborates with the purchasing department on supply acquisitions.
- Collaborates with purchasing to find alternative sources for back ordered items.
- Unpack and Transport of supplies to Surgery, GI, Pre/Post, and Anesthesia Work room.
- Follows up with vendors to ensure timely delivery.
- Collaborates with service line team leaders for consignment PAR levels based on patient volumes.
- May have to arrange for courier to urgently pick up or deliver surgical products.
- Maintains a clean, safe, and organized work environment.
- Maintains clean, neat work areas.
- Store and displays supplies so they are neat, accessible and easily identifiable.
- All paper work is organized and filed appropriately.
- Cleaning of equipment, and defrosting of bone freezer as necessary.
- Room rounding and maintenance of log book.
- Communication of all ECRI Management recalls.
- Broken equipment/repair maintenance.
- Copier equipment/printer maintenance.
- OR locker room management.
- )Cooling vests and lead apron management.
- Maintains tracks and reorders supplies utilizing both manual and computerized systems
- WorkDay ordering and processing for anesthesia, GI, Pre/Post, and OR supplies as needed.
- Surgi-track coordination.
- Process bill only (pre-IPM) and (post-IPM).
- Informs staff of new item, back orders and deletion of supplies.
- Maintains knowledge of new supplies.
- Ensures supplies are put away properly.
- Purchase order issuance for non-stock.
- Provides support to the Surgical Services Staff
- Collaborates with the Business Manager & OR Manager to obtain the most competitive capitol request quotes prior to placing orders.
- Partners with Surgical Team Leaders to maintain compliance with conforming products when evaluating new products.
- Demonstrates adaptability and flexibility for change.
- Demonstrates reliability for attendance and punctuality.
- Maintains proper PAR levels of stock in the Anesthesia Work Room, OR Sterile Supply, Pre/Post, and GI.
- Obtains supplies and Instrumentation for the staff as needed.
- Supports open communication; and actively participates in staff meetings.
- Collaborates with Sterile Processing in acquiring supplies as needed.
- Observes department and hospital policies, and regulatory requirements.
- May have to transport specimens to pathology.
- Participates in cost savings opportunities.
- Pursues cost savings opportunities.
- Utilizes the buying agreements in product selections.
- Participates in Value analysis team.
- Participates in QI efforts.
- Works with vendors in returning or exchanging overstock items.
Education/Experience Required:
- 3-5 years’ previous experience maintaining and ordering of supplies.
- Previous hospital experience preferred.
- HS Diploma or GED
Knowledge, Skills & Abilities Required:
- Good communication skills.
- Ability to follow directions.
- Computer experience.
- Working independently.
- Medical terminology.
- Current CPR.
Physical Requirements and Working Conditions:
- Ability to transport supplies and specimens to all areas of the hospital. Contact with blood/body fluids. TB test yearly. Hepatitis vaccine. Ability to respond quickly to emergent situations. Strength and dexterity to handle equipment.
- Heavy lifting up to 35 lbs.
