What are the responsibilities and job description for the Supply Chain Specialist position at Advocate Health?
Supports the maintenance of supplier master data within Advocate Health’s ERP system and as part of the supplier management activities of the Vendor Management Office (VMO). This position will collaborate closely with cross-functional leaders to implement programs aimed at maintaining the integrity, accuracy, and reliability of supplier information, and ensuring seamless operations within the ERP, supply chain and the VMO. Ensures that all supplier-related information is up-to-date and accurate.

Experience Required: Typically requires 1-3 years of experience in contracting, group purchasing organization, procurement, or supply chain in a healthcare setting. Non-healthcare industry experience will be considered in lieu of direct healthcare experience. Experience may be waived based on candidate qualifications or educational focus.

Major Responsibilities
- Perform maintenance activities related to the supplier master file, including reviewing and updating supplier records, monitoring changes, and ensuring data accuracy. Coordinate updates with Accounts Payable and the VMO.
- Responsible for supplier data maintenance, supplier onboarding and offboarding within the ERP, and supplier compliance, ensuring that all supplier-related information is up-to-date and accurate.
- Collaborate with stakeholders and suppliers to resolve data-related issues, facilitate data exchange, and ensure information accuracy.
- Continuously seek to optimize internal processes to ensure efficient supplier master file maintenance activities to enhance efficiency and reduce errors.
- Work closely with other departments, including procurement, finance, and supply chain analytics, to ensure alignment of the supplier data management processes.
- Perform work within defined service levels for department requests. Help to ensure all requests are properly evaluated and responded to in a timely manner.
- Coordinate and resolve issues related to core job responsibilities with VMO.
- Participate in review sessions as appropriate to identify opportunities to enhance and develop efficiencies in existing departmental policies and procedures. Generate training documentation related to internal department processes and procedures. Conduct training as appropriate.

- Experience implementing and maintaining operational policies, standards and procedures related to master data issues.
- Strong understanding of data management principles and practices. Proficiency in data management software and tools, such as ERP systems and data quality software.
- Exceptional analytical and problem-solving abilities. Effective communication and interpersonal skills.
- Excellent project management and organizational skills, with the ability to manage multiple initiatives and priorities simultaneously. Organized, proficient and effective at handling multiple demands/priorities with attention to detail and ability to quickly adapt to change.
- Proficiency with supplier and risk management software platforms and business intelligence tools such as SupplierGateway, Excel, Access, Word, Visio, Power Point, Power BI, Share Point, etc. Adept in working with procurement and analysis tools and other evolving dashboard and analytic platforms.
- Advanced knowledge of Advocate Health supply chain functions, philosophy, operations, and organizational objectives.
- This position requires limited travel, therefore, will be exposed to weather and road conditions.
- Operates all equipment necessary to perform the job.
