Job Summary:
We are seeking a highly organized and detail-oriented individual to fill the part-time Administrative Support position. This role will involve helping in various office-based tasks, including answering phone calls, reaching out to employee applicants, and working with county boards of developmental disabilities. The successful candidate will play a crucial role in ensuring the smooth functioning of our office and supporting the administrative needs of our team.
Responsibilities:
- Answering phone calls and directing them to the appropriate person or department
- Checking the different DODD county provider portal sites throughout the day and applying for suitable clients as necessary.
- Attending all necessary meetings with DODD personnel and Clients/Family and reporting to the appropriate person or department.
- Taking messages and providing necessary information to callers as required
- Assisting with employee recruitment process by reaching out to applicants, scheduling interviews, and coordinating necessary paperwork
- Maintaining employee records and databases, ensuring accuracy and confidentiality
- Assisting in preparing and distributing employee communications, such as memos and newsletters
- Coordinating meetings and appointments, including scheduling, sending reminders, and organizing necessary materials
- Assisting with general office tasks, such as filing, photocopying, and organizing documents
- Working closely with county boards of developmental disabilities to ensure compliance with regulations and requirements
- Providing administrative support to various departments as needed
Requirements:
- High school diploma or equivalent qualification
- Proven experience in an administrative role or similar position
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Proficient in using office software (e.g., MS Word, Excel, Outlook)
- Excellent verbal and written communication skills
- Ability to handle multiple tasks and prioritize effectively
- Strong interpersonal skills and ability to work well in a team environment
- Familiarity with county boards of developmental disabilities is a plus
- DSP experience and working with individuals with developmental disability is a plus
- Working Hours: 21 hours per week to start with possibility of increasing to 40 hours a week (flexible schedule)
