AdvocateMH is seeking a highly organized and proactive Executive Assistant to support our Chief Executive Officer and office team. In this role, you will provide high-level administrative support, manage complex schedules, coordinate meetings, follow up on key initiatives, facilitate seamless day-to-day operations. You will also assist with project management, communications, and key operational initiatives as required by the CEO. The ideal candidate is detail-oriented, resourceful, and thrives in a fast-paced startup environment. - Manage complex CEO calendar, scheduling meetings, and coordinating travel arrangements.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Handle confidential correspondence and communications on behalf of executives.
- Assist with email and document management, ensuring timely responses and organization.
- Oversee office operations, vendor relationships, and administrative processes.
- Maintain key documents, contracts, and records for easy access.
- Support HR functions, including onboarding, team coordination, and culture-building initiatives.
- Assist in managing expenses, budgets, and financial reporting as needed.
- Help drive operational efficiency and process improvements.
- Support strategic planning and goal-setting initiatives.
- Monitor key business priorities and ensure follow-through on executive decisions.
- Coordinate cross-functional projects and track key deadlines.
- Prepare presentations, reports, and briefing materials for leadership.
- Act as a liaison between internal teams and external stakeholders.
- Support company-wide initiatives, including events, communications, and special projects.
- Bachelor’s degree in Business Administration or a closely related field of study required.
- Three (3) to Five (5) years of related experience with administrative support required
- Five (5) to Eight (8) years progressively responsible professional experience as an administrative or executive assistant at a high-paced executive office preferred
- OR An equivalent combination of certification, education and experience sufficient to successfully perform the essential duties of the job such as those listed above
- Strong Relationship Management: Ability to cultivate and manage high level relationships externally and internal communication and collaboration.
- Exceptional Organizational Skills: Ability to manage multiple priorities and deadlines efficiently.
- Strong Communication Skills: Excellent written and verbal communication to effectively interact with various levels of staff.
- Attention to Detail: Commitment to accuracy and meticulousness in all tasks.
- Discretion and Confidentiality: Ability to handle sensitive information with utmost privacy.
- Adaptability and Flexibility: Willingness to adjust to changing priorities and demands.
