Asset Services Technical Specialist

The Asset Services Director will have the responsibility to support, as appropriate, core business strategies and strategic goals of the Company in addition to actively determining further initiatives to advance the Company. This role will manage Company assets including real estate, vehicles, and aircraft.


Responsibilities

REAL ESTATE / FACILITY MANAGEMENT

  • Partner with Operations Managers (OMs) on facility management, space planning, leasing/owning options, office expansions, furniture management, and office remodels.
  • Work with OMs and senior leadership regarding lease renewals for existing offices and leases for new office space, coordinating communications with Landlords and internal staff.
  • Lead efforts related to purchasing, leasing and/or selling of real estate including, but not limited to, tasks such as due diligence, broker/real estate agent communications, project timelines and budget management, and contractor relations.
  • Support efforts related to geographic expansion initiatives including market and specific facility research, location preferences, space planning, furniture management, and other related tasks.
  • Assist with annual budgeting of facilities and related furnishings costs.

TRAVEL/AIRCRAFT ADMINISTRATION

  • Oversee, in conjunction with the Accounting Director, the firm’s plane operations and assist with the development of policies and procedures.
  • Analyze plane usage to ensure appropriate business use to maximize the feasibility of these assets.
  • Manage the travel team to ensure seamless coordination of all travel-related logistics including plane, hotel, car rental, and other travel needs.
  • Develop the travel team, including refining policies and procedures that meet the needs of the organization.
  • Analyze travel systems to ensure the most efficient travel booking and reservations systems are being levered.

ENTERPRISE FLEET VEHICLE MANAGEMENT

  • Partner with the Fleet Coordinator on the following:
    • Developing the vehicle budget through coordination with the OMs regarding their needs.
    • Manage vehicle fleet program details such as vehicle acquisitions and disposals, annual registrations, and ongoing repairs and maintenance decisions.
    • Understanding insurance claims and vehicle accident trends.
    • Identify efficiencies within the vehicle management process.
  • Coordinate with Enterprise Fleet Representatives for the efficient and cost-effective management of the fleet vehicle program.

FUNCTIONAL OVERSIGHT

  • Manage the day-to-day functions of the Travel Coordinator and Team.
  • Provide oversight and direction of the Travel Group Help Desk.

OTHER

  • Assist with other tasks, duties, or initiatives as directed or assigned by senior leadership.




Job Requirements:

Basic Requirements

  • Bachelor’s degree in Accounting, Finance, Economics, Business Administration, or related field from an accredited four-year college
  • 3 years of experience in corporate accounting, finance, or business management
  • Commercial real estate experience
  • Excellent verbal and written skills
  • Up-to-date knowledge of current financial and accounting computer applications
  • All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all of the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations

Preferred Qualifications

  • Experience in an engineering environment
  • Realtor license
