Job Description: Services Coordinator
Position Overview:
Aero IT is seeking a highly organized and proactive Services Coordinator to oversee and streamline our operations. The Services Coordinator will play a critical role in maintaining organizational efficiency, managing project workflows, and assisting the team with various tasks to ensure smooth day-to-day operations. This individual will work closely with the team to evaluate and improve processes while supporting Aero IT s mission to deliver exceptional managed IT services.
This position is step one in a defined career track that offers significant growth potential. The right candidate will have the opportunity to develop into a management or leadership role as they demonstrate capability, initiative, and alignment with Aero IT s strategic goals.
While this is not a management position today, it carries responsibilities similar to an IT Manager within a managed service provider (MSP) environment, providing a strong foundation for future advancement.
Key Responsibilities:
- Project Coordination:
- Track and oversee IT projects from initiation to completion, ensuring deadlines are met and deliverables are achieved.
- Maintain project documentation, schedules, and task lists to ensure transparency and accountability.
- Communicate project updates and milestones with team members and clients.
- Process Evaluation and Improvement:
- Analyze existing workflows and identify areas for improvement to enhance operational efficiency.
- Implement new processes or refine current practices to align with Aero IT s goals.
- Collaborate with team members to gather feedback and create streamlined, effective solutions.
- Team Support:
- Assist technicians with general tasks, scheduling, and client coordination.
- Monitor and maintain ticket workflows to ensure timely resolution of client issues.
- Help coordinate resource allocation to balance workloads effectively.
- Operational Oversight:
- Maintain an organized system for tracking tools, licenses, and inventory.
- Ensure accurate documentation of internal processes, policies, and client information.
- Coordinate meetings, workshops, and training sessions as needed.
- Communication and Reporting:
- Serve as the point of contact for team communications regarding project updates and resource planning.
- Create and maintain reports on project statuses, team productivity, and key performance indicators (KPIs).
- General Workflow Assistance:
- Provide administrative support as needed to ensure uninterrupted workflow.
- Assist with onboarding new team members by coordinating access to tools and training.
- Coordinate vendor communications and procurement processes.
Qualifications and Skills:
- Education and Experience:
- Bachelor s degree in business administration, IT, or a related field (preferred).
- 3 years of experience in IT coordination, project management, or a similar role within an MSP environment.
- Technical Skills:
- Familiarity with managed services provider (MSP) tools such as PSA, RMM, and CRM platforms.
- Proficiency with project management tools and software (e.g., Microsoft Project, Asana, or similar).
- Advanced knowledge of Microsoft Office Suite, especially Excel, Word, and Teams.
- Soft Skills:
- Strong organizational and multitasking abilities.
- Exceptional communication and interpersonal skills.
- A proactive, solution-focused mindset.
