AeroBase Group, Inc. is in search of a high energy, driven individual to be an Administrative Assistant in our growing Saint Augustine office. AeroBase Group, Inc. is a fast paced and continually growing international company interested in discovering local talent for a meaningful career.
This is an on-site Monday through Friday, 8am-5pm position. This position is for individuals who strive to be successful and have career goals in mind. Individuals best fitted for this position possess abilities to time manage, work efficiently, communicate well both verbally and via email, work on their own, and demonstrate excellent computer literacy.
As an Administrative Assistant, it will be your job to work directly with the Account Managers and vendors in order to meet fixed project deadlines, and requirements.
Position Duties:
- Ensure timely response to all internal and external requirements.
- Communicate with vendors via phone, email, and online platforms to place new purchase orders as well as follow up on open orders and document all communication.
- Set up, and monitor inbound logistics to ensure on-time delivery.
- Provide payment to suppliers and reconcile invoices.
- Work with Account Managers for efficient and accurate resolution of issues and questions with all vendors.
- Build productive and collaborative relationships with company staff members and vendors.
- Conduct all activities in accordance with applicable International, Federal, State, and local laws and regulations.
- Demonstrate problem solving and ability to manage time with a detail-oriented approach.
- Possess excellent verbal and written communication skills and project a professional image.
- Understand and navigate company systems (Great Computer Skills a Must) within multiple screens in a fast-paced environment, while seated for extended periods of time.
- Other projects/duties as assigned for the overall benefit of the organization
Skills and Qualifications
- Strong organization skills and attention to detail
- Excellent written and verbal communication skills with the ability to take detailed notes
- Proficiency in typing and computer applications such as Google Suite and Microsoft Office, with aptitude to learn new software and systems.
- Ability to complete a high volume of tasks and projects with little or no guidance under time constraints with fluctuating work volumes to meet the needs of the business.
- Ability to work independently while making sound business decisions with a well-developed sense of urgency.
- Able to maintain discretion in handling confidential information and keep company confidences.
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
