The Opportunity: The Operations Supervisor, Managed Care, in conjunction with the Managed Care Team Leader, will be responsible for overseeing the day to day workings of the Managed Care Operations team and its members with a special focus on the following: Portal Admin Ticketing Management, Billing Tasks and Claims Projects that are escalated to the Corporate Development Department, and Management of the Michigan (Huntington Woods) Remote Office.

This role will require strong leadership, team management, time management, and project oversight to ensure that objectives are met and that the team operates efficiently.

Primary Responsibilities:

  • Team Leadership and Coaching:
    • Meet objectives (personal and/or team objectives) as outlined in the Managed Care Operations Monthly Objectives.
    • Coach and support team members, to ensure objectives are met, and alignment with team, department, and company goals.
    • With management support, lead regular feedback and development sessions with team members to address areas of improvement and acknowledge accomplishments.
    • Present as a leader within the company on internal and payer calls, always remaining professional and distraction-free.
  • Operational Oversight:
    • Oversee the Michigan Remote Office operations, including but not limited to: vendor appointments, compliance audits (in partnership with compliance), and staffing needs to ensure that the office is staffed at all times.
    • Ensure portal request management is efficient, tickets are completed timely and that targets are met.
    • Oversee billing and claims projects and ensure timely resolution of tickets.
    • Resolve routine issues with health plans in accordance with the department’s service level agreements.
    • Manage and support projects related to network implementation, policy changes, and overall operational improvements.
    • Employee has an individual responsibility for knowledge of and compliance with laws, regulations, and policies.
    • Compliance is a condition of employment and is considered an element of job performance
    • Maintain HIPAA/patient confidentiality
    • Other job duties assigned
  • Internal and External Communication:
    • Maintain effective communication with internal and external partners such as Claims Operations, Legal, Compliance, Sales, and Marketing.
    • Provide departmental representation at both internal and external billing meetings.
    • Facilitate monthly or quarterly payer meetings and training sessions to address issues related to claims reimbursement and health plan processes.
  • Reporting and Analytics:
    • Provide customized reporting as required, ensuring accuracy and timeliness in all data shared with stakeholders.
    • Use data analytics tools (e.g., Access, SQL, Excel) to support decision-making and improve processes.

Skills for Success:

  • Proven leadership and supervisory experience, with the ability to manage and coach a team effectively.
  • Advanced analytical skills, including experience with collecting, organizing, and disseminating information accurately.
  • Strong communication skills, both written and verbal, to convey complex information clearly.
  • Ability to manage multiple projects and meet deadlines while maintaining attention to detail.
  • Familiarity with contract management, portal request systems, billing processes, and a general knowledge of compliance audits.
  • Bachelor’s degree (or equivalent) preferably in computer science, mathematics, business management, or economics.
  • Proficiency in data analytics tools (Access, SQL, Excel) is a plus.

Travel Requirements:

  • Travel to the Michigan Office on a quarterly basis to check in with the team there and ensure the location is in compliance
  • Travel may be required on a 2–3 month basis to connect with the Managed Care Team
