Position Overview
- Work within AeroSpec’s Contracts department performing various tasks including:
- Receive Customer requests and coordinate with Project Management team to set up projects in Company’s ERP and Document Management System
- Entering and editing Quotes for customers
- Create and send Invoices to customers; use online portals to process data
- Work directly with project management & operations staff to ensure milestones and schedules are maintained appropriately
- Assist the on-boarding of new Customers into AeroSpec’s systems including ERP and CRM
- Composes routine correspondence and proofreads & edits documents, updates and maintains spreadsheets, databases, and reports.
- Maintain and audit internal systems for consistency and accuracy of information using workflow-based reports.
- Work with Accounts Receivable department to facilitate timely billing and processing
- Maintain a well-organized and efficient workplace
- Compile scheduling and other data from computer databases
- Fast-paced, team-oriented environment with exposure to a variety of tasks and experiences

- Position Breakdown:
- 90% Data Entry and Document Management
- 10% Meetings
- Work Experience
- 2 years’ experience in office administration and data entry with data management a plus
- Experience in contract administration or corporate contracts a plus
- Previous experience with Corporate Contractual Negotiation a plus
- Experience and Proficiency with Microsoft 365 (Word, Excel, Outlook)
- Strong Computer Skills using Microsoft Windows
- Single Shift, On-Location 6:45A-3:45A M-F Position w/ Overtime Available
- Attention to detail with working with sensitive information
- Leadership skills, problem solver, excellent communication skills
- Education High School/GED; Associates degree a plus
