**Job Summary:**
Join our team as a Bi-lingual Administrative Assistant at a dynamic and fast-paced office environment. As an integral part of our team, you will be responsible for providing exceptional administrative support, ensuring smooth office operations, and delivering top-notch customer service to our clients.
**Duties:**
- Serve as the primary point of contact, answering incoming calls, receiving emails, packages, and supplies.
- Maintain organized and efficient office systems, including organizing emails and categorizing them or flagging them when needed for items to report, data entry, filing, and record-keeping.
- Organize and keep track of pictures sent in by technicians, contractors, and vendors
- Support with scheduling appointments, finding vendors or communicating with sub-contractors regarding their reports, quality issues, or new projects
- Handle customer inquiries and provide excellent customer service in person, over the phone, and via email.
- Assist in sending progress reports and completion pictures to clients
- Collaborate with various departments to ensure seamless communication and workflow.
**Experience:**
- Must be able to read, speak, and write, in both English and Spanish.
- Proven experience in administrative support roles with a focus on customer service.
- Familiarity with medical office procedures or real estate administrative tasks is a plus.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Proficiency in computerized systems and software such as Microsoft Office Suite.
- Experience in office management or related fields is advantageous.
- Excellent communication skills with a customer-centric approach.
- Ability to work independently with minimal supervision while being a team player when needed.
