POSITION SUMMARY: Responsible for the oversight, coordination, and monitoring of all referral activities as performed by referral coordinators, and clinical staff. Routinely measures and analyzes quality indicators for quality improvement. Performs auditing, reporting, and required training to ensure the efficient processing of all specialty referrals. Ensures the timely completion of administrative functions associated with referral activities at all Affinia sites.
POSITION QUALIFICATION REQUIREMENTS
Education:
- High School graduate or equivalent required with associate or bachelor's degree.
- Training or certification in Microsoft (Excel, PowerPoint, and Word).
- Graduate of a certified Medical Assistant program preferred.
Experience: Minimum of three (3) years' experience in a medical office, ambulatory care, or similar setting performing referral management duties. Strongly preferred minimum of 2 years supervisory experience. Experience with electronic medical records is required.

FUNCTIONS OF THE JOB
Essential Functions
- Demonstrates excellent skills in processing referrals in a timely and accurate manner.
- Demonstrates a high level of accuracy in documentation of referral processing in EHR to include communication with specialty referral sites, authorization, communication with clinical staff and patients, and progress towards completion of referral.
- Assists in the development of new protocols to ensure timely follow up, completion of referrals, and achievement of goals and objectives in regard to referrals.
- Provides training of referral coordinators and liaison, and ensuring yearly competency standards are met.
- Monitors all referral activities to include timeliness in the completion of referral by clinical staff, referral coordinators, and referral liaison.
- Responsible for improving communication and collaboration among the referral coordinators and with other departments.
- Assigns referral coordinators and liaison specific referral assignments and provides coverage for scheduled and unscheduled coordinators absences.
- Oversees the daily activities of the referral coordinators, providing direct supervision and guidance.
- Provides input and assistance of annual evaluations for referral coordinators, as directed.
- Prepares monthly, quarterly, yearly reports related to number of referrals ordered, scheduled appointments for referrals, and completion of referrals.
- Responsible for audits, reports, and analyses of data for Providers, Assistant Vice President of Health Center Operations and others as requested.
- Responsible for identifying and resolving any barriers to timely referral processing and reporting any concerns to Assistant Vice President of Health Center of Operations for timely interventions.
- Coordination and facilitation of monthly referral meetings.
- Provide educational training to Affinia Healthcare clinical team as needed for accurate and timely processing of referrals.
- Performs regular audits of records to maintain high quality services, meet regulatory standards, and ensure quality improvement is ongoing and continuous.
- Perform other duties as assigned.
Marginal Functions:
- Attends organizational meetings as required.
- Assists providers in completing all medical documentation needed to provide referral services to patients.
- Trains other medical staff and presents information to various audiences.
- Participates in internal or external workgroups/committees, as assigned.
