What you will do:
Executive Support:
- Assist in managing executives' calendar as needed, ensuring prioritization and alignment with organizational objectives
- Provide administrative support to track and follow up on key tasks to ensure organizational success
- Prepare materials and presentations to ensure executives as well-informed and fully prepared for meetings
- Coordinate complex travel arrangements, including developing detailed itineraries and expense management
- Lead the planning and execution of events, including conferences, team meetings, vendor meetings, and client engagements
- Manage all event logistics, such as venue selection, vendor coordination, and budget tracking to maintain efficiency and cost-effectiveness
- Align event objectives with organizational goals to deliver a high impact and meaningful experience for participants
- Manage incoming mail by obtaining, scanning, and sorting it as required
- Conduct research, compile data, and generate reports to support informed decision-making
- Track project milestones and follow up on deliverables to ensure timely completion
- Collaborate with cross-functional teams to streamline processes and enhance operational efficiency
- Build and maintain strong relationships with internal teams and external partners to foster collaboration
- Serve as the primary point of contact for the Operations leadership team, facilitating effective communication and coordination
- Represent executives in meetings or events when needed, ensuring alignment with organizational objectives and proper follow-through
- Handle sensitive information with the utmost discretion and professionalism
- Proactively anticipate needs and address potential challenges to support the success of the team
- Must be located in Louisville, KY area to facilitate local event planning and stakeholder engagement
- Bachelor's degree in Business Administration, Healthcare Administration, or a related field preferred
- 4 years industry experience in administrative or operational roles required, preferably in the healthcare industry
- Ability to work independently, exercise discretion, and maintain confidentiality
- Proven experience in event planning and coordination
- Ability to collaborate effectively across functions, both internally and externally
- Exceptional organizational and time management skills with the ability to prioritize multiple demands
- Strong written and verbal communication skills, with attention to detail
- Advanced proficiency in office software (e.g., Microsoft Office Suite, scheduling tools)
- Willingness to travel as needed (10%)
