SUMMARY

Receives calls and visitors to the office in a friendly, courteous and welcoming manner, determines the nature of business, and directs callers and visitors to destination. Maintains current information about staff availability for callers and visitors. Serves as communication hub for incoming and outgoing messages including those conveyed in person, by telephone, by FAX or otherwise. Prepares meeting room facilities and meeting refreshments.

Operated keyboard or other data entry device to enter data into computer. Uses database and word processing applications to display, sort, edit, print and otherwise manipulate data. Operates keyboard or typewriter to produce typewritten materials. Operates a variety of office equipment. Acts as relief receptionist as assigned. Performs other general clerical tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Front Desk Assignment: Welcomes callers and visitors in a friendly and courteous manner. Obtains the name and purpose of the caller or visitor. If there is a visitor, the receptionist makes them comfortable in the reception area. Advises person called upon by intercom or otherwise. Directs call or visitor to destination if caller is available.

If a person called upon is not available, records callers or visitors name, time of call, nature of business and routes message. Promptly brings messages to the personal attention of the individual to whom they were directed.

Maintains current schedule and availability information for headquarters staff based on information provided by each individual or other sources.

Serves as a communication center for incoming and outgoing messages including those conveyed in person, by telephone, by FAX or otherwise. Operates telephone console to receive incoming messages.

Follows through on messages received by attempting to contact the individual to whom the message is directed in order to bring the message to their attention as soon as possible. If an individual cannot be contacted and a message requires a response, brings message to the attention of supervisor, or in supervisor's absence, another individual who can respond to the message.

Answers inquiries: If unable to respond to inquiry, routes inquiry to individual who can answer it or advises caller that someone who can assist them will call them as soon as possible. Obtains caller or visitor name, time of call or visit, nature of inquiry, and contact information. Routes inquiry to appropriate individual for response.

Collects, sorts and distributes mail and messages.

Prepares coffee and maintains supply of brewed coffee daily. Maintains coffee and condiment supply in first floor kitchen.

Sets up meeting rooms as directed.

Maintains office supplies in first floor conference room.

Maintains paper, office supplies, photocopy machine supplies and fax machine supplies in first floor photocopy room. Replaces ink and paper in machines as needed.

Refreshes first floor conference before and after scheduled meetings (e.g. removes used cups and coasters, coffee setup, condiments and other refreshment supplies from room, straightens chairs)

Data Entry Assignments: Enters alphabetic, numeric, or symbolic data from source documents into computer following format displayed on screen or other instructions for data entry.

Compared data entered with source documents, or re-enters data in verification format on screen to detect errors. Compiles, sorts, and verifies accuracy of data to be entered. Deletes incorrectly entered data, and re-enters correct data. Uses database and word processing applications to display, sort, edit, print and otherwise manipulate data.

Operates office machines for copy and/or record making. Machines used include but are not limited to the computer, microfilm, sorter, collator, headliner, binder, stapler, stencil cutter, photocopy machine, folding equipment, postage machines and scanning machines.

Maintains records: Maintains files, makes changes in filed date, adds and/or deletes materials; processes records, forms, and data to be filed; researches files for data, records, and forms data to be filed; researches files for data, statistics and information requested; logs information; codes data. Scans documents and saves them into database.

Uses computer word processing application to compile, type, revise, combine, edit, print, and store documents. Types or uses word processor to complete and/or process forms, cards, labels, letters and other materials; reviews and proofreads for legibility, accuracy and quality.

Processes incoming and outgoing mail.

Performs other general clerical tasks as assigned (e.g. distribute supplies; count, alphabetize, collate, code, sort, staple, bind and stuff material).

Keeps record of work completed.

Performs related duties as required.

EDUCATION and/or EXPERIENCE

Associate's degree (A. A.) or equivalent from two-year college or technical school; or equivalent combination of education and six months to one-year related experience and/or training, or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and write common vocabulary. Ability to proofread text. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide numbers.

REASONING ABILITY

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES

Ability to type between 60 and 80 WPM based on standard typing test. Ability to operate computer workstation. Ability to use basic level Microsoft Word and Excel for Windows. Ability to learn intermediate level of Microsoft Word and Excel for Windows. Ability to learn and use Microsoft Office Suite, UnionWare, U-Pay, and FileMaker Pro. Ability to work overtime on work days and weekends as needed. Ability to operate computers, printers, photocopy equipment, duplicating equipment, telephone equipment, electric and electronic typewriter, calculator and other office machines. Knowledgeable of good office procedures and practices.

Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.

While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to fumes or airborne particles and toxic or caustic chemicals. The noise level in the work environment is usually moderate.
