Roles and Responsibilities
The Program Site Management Assistant will provide administrative, logistical, and communication support for the Cleveland ASAS program sites. Success in the role equates to the efficient and smooth day-to-day operation of the Cleveland program sites, positive and proactive communication with all ASAS staff and key stakeholders. The roles and responsibilities of the Program Site Management Assistant include:
PROGRAM MANAGEMENT ASSISTANCE
- Assist with routine site visits, City Span input and data collection, and pulse checks.
- Assist with coordinating planning and implementation of daily program in accordance with the mission of ASAS Cleveland
- Assist with daily operations at program site as needed
- Assist in maintaining general program management, including but not limited to communication with providers, instructors, speakers, staff members, and volunteers
- Assist with organization of program logistics, organizing and maintaining files, records, and databases as assigned
- Support in communication with stakeholders
- Handle logistics as needed (ex. mileage, calendaring, scheduling, etc.)
- Assist in planning meeting agendas and taking detailed minutes
- Assist with communications including email, memos, and other correspondence as needed
- Assist with staff trainings ensuring adherence to and understanding of all relevant program policies and procedures
- Assist in managing program equipment, supplies, and spaces
- Aids Senior Program Coordinators, Senior Site Coordinators, Executive Director, and Ops Manager with the development of SharePoint files for site data and SharePoint templates.
- Perform other duties as assigned
In addition:
· One or more years’ experience working in a leadership or supervisory capacity in an after school, day camp, or community youth outreach setting is preferred.
· Ability to work cooperatively and collaboratively with school district staff, program staff, parents, and community leaders
· Skilled in data tracking, record keeping, writing reports, and maintaining student and staff records
· Ability to communicate effectively and demonstrate sensitivity to others as well as respond to critical incidents and act swiftly in an emergency situation.
· Excellent organizational skills and managerial skills
· Familiarity and experience with diverse populations, culture competencies, and youth principles is strongly desired.
· Must have clear BCI & FBI background checks & complete 32/hours of Online Safe Schools Training
