Ag Express Electronics is seeking a Business Resource Administrator to join our team in Des Moines, Iowa. In this position, you will provide comprehensive administrative and logistical support to Sales, Marketing, and other departments at Ag Express. The Business Resource Administrator will be a crucial part of enhancing team productivity and efficiency through expert oversight of CRM and KPI tracking, coordination of travel, and event and meeting setup. This role is essential to maintaining organization, clear communication, and confidentiality, contributing to a professional, high-performing environment.

Key Responsibilities:

CRM and KPI Monitoring:

  • Oversee the Acumatica CRM system to track and monitor Key Performance Indicators (KPIs) and response metrics across Marketing, Sales, and other departments, as directed by leadership.
  • Serve as a lead resource for the CRM system to support Marketing, Sales, and other departments, ensuring complete and accurate data is entered and maintained.
  • Support teams in maximizing CRM utilization, providing timely reporting and insights on CRM performance and responsiveness.

Event and Meeting Support:

  • Work in coordination with the Executive Administrator to organize and coordinate catering, events, and meeting setups, ensuring a smooth experience for all attendees.
  • Coordinate with the Marketing and Sales teams to organize logistical details for trade shows they attend throughout the year.
  • Handle logistical details and liaise with vendors and service providers as needed.
  • Assist in creating a positive, welcoming atmosphere when greeting visitors at various meetings and events.

Travel Coordination:

  • Coordinate travel arrangements for the Marketing, Sales, and Executive teams, ensuring seamless planning and communication with relevant team members.
  • Maintain accurate records of travel itineraries, expenses, and approvals as needed.

General Administrative Support:

  • Provide day-to-day administrative support for the CRMO, Sales, Marketing, and other departments as requested.
  • Answer and direct incoming calls professionally, manage correspondence, and screen or route inquiries as needed.
  • Maintain office supplies, manage inventory, and handle ordering processes to support team needs.

Calendar and Schedule Management:

  • Manage schedules, coordinate meetings, and arrange appointments for executives and team members.
  • Schedule and prepare conference rooms or virtual meeting setups, ensuring technical readiness for smooth operations.

Document Preparation and Filing:

  • Prepare and edit documents, presentations, reports, and spreadsheets, ensuring accuracy and professionalism.
  • Maintain organized digital and physical filing systems, ensuring easy access and retrieval of documents when needed.

Expense and Financial Tracking:

  • Assist with expense reports, including tracking receipts, preparing documentation, and submitting reports in a timely manner.
  • Monitor budgetary requirements for events and office supplies, reporting to leadership as needed.

Schedule Flexibility:

  • Adapt working hours to accommodate event requirements, demonstrating flexibility and responsiveness to the needs of the team.

Professionalism and Confidentiality:

  • Maintain a high level of confidentiality with all information shared or obtained in the role.
  • Communicate clearly and professionally, fostering a respectful and efficient working environment.

Skills and Qualifications

  • Experience: Prior experience in an administrative role, ideally within a sales, marketing, or executive support function.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), with familiarity in CRM platforms, particularly Acumatica, preferred.
  • Communication Skills: Excellent verbal and written communication abilities, demonstrating professionalism, clarity, and confidentiality in all interactions.
  • Organizational and Planning Skills: Exceptional ability to manage multiple priorities, coordinate complex travel schedules, and consistently meet deadlines in a high-paced environment. Strong planning and organization skills ensure efficient handling of diverse responsibilities.
  • Analytical and Problem-Solving Skills: Proven capability in analytical thinking and problem-solving, with the ability to exercise sound independent judgment and decision-making.
  • Adaptability and Flexibility: Willingness to adjust work hours to accommodate events and organizational needs, ensuring responsiveness and reliability in a dynamic environment.
  • Interpersonal Skills: Professional and clear communicator, adept at fostering a collaborative and efficient work environment.

Education and Experience:

  • Education: High school diploma or equivalent is required; bachelors in business administration or related field strongly preferred.
  • Experience: Minimum of 2 years of proven experience in executive level administrative support or similar administrative role, supporting C-level executives or leadership positions.
  • Remote and In-Person Work: Excelling in supporting remote/hybrid/in-person work settings, utilizing technology and virtual collaboration tools.
  • Computer Skills: Ability to use standard office equipment including printers, scanners, and computer applications such as MS 365.
  • CRM Experience: Experience in using Customer Relationship Management software to manage and report on data.

Physical Requirements:

  • Lifting and Carrying: Occasionally, the role may involve lifting and carrying office equipment or materials weighing up to 50 lbs.
  • Standing and Walking: Ability to navigate various departments and facilities within the organizations premises as part of operational oversight and engagement.
  • Communication: Skill in exchanging accurate information with customers, co-workers, vendors, etc., utilizing verbal, written, and electronic communication methods.
  • Sitting for Extended Periods: Much of the work will be conducted at a desk requiring the ability to sit for extended periods while performing tasks.
  • Repetitive Motion: Some tasks may involve repetitive motions of the hands, especially prolonged periods of typing on a computer to perform administrative and operational tasks. Ergonomic practices should be followed to minimize the risk of repetitive strain injuries.
  • Travel Readiness: Willingness and ability to travel as necessary for business engagements, meetings, industry events, and onsite visits to the organizations multiple locations.
  • Safety Awareness: Awareness of and adherence to safety protocols and procedures is essential when navigating the organizations facilities to ensure compliance and minimize the risk of workplace hazards or accidents.
