Key Responsibilities
Compliance & Regulatory Oversight
- Ensure company policies and procedures align with legal and regulatory standards.
- Maintain compliance with PCI, SAQ, state employment laws, tax regulations, and benefits administration.
- Manage employment law adherence, including new hire documentation, employee classification, and termination procedures.
- Oversee payroll compliance, tax filings, and multi-state employment requirements.
- Facilitate compliance audits and ensure up-to-date documentation for company records.
Human Resources & Employee Management
- Lead full-cycle onboarding for new hires, including system access, training schedules, and benefits enrollment.
- Oversee employee benefits administration (health, dental, 401k, etc.) and serve as the point of contact for employees.
- Coordinate terminations, exit processes, and offboarding documentation.
- Maintain and update employee records in ADP, Employee Navigator, and HR systems.
- Reconcile payroll timesheets and ensure accurate compensation processing.
- Develop and implement incentive programs (SPIFFs, bonuses, recognition programs).
IT & Technical Support
- Manage user accounts, troubleshoot technical issues, and provide IT support for software and hardware.
- Maintain access control for Google Workspace, CRM platforms, Zoho, SMS Magic, Convoso, and Nextiva.
- Oversee company security systems, including access control, surveillance, and alarm monitoring.
- Manage the procurement and deployment of office hardware (headsets, keyboards, monitors, etc.).
- Coordinate with third-party vendors for IT troubleshooting and compliance-related software updates.
Operations & Administrative Leadership
- Handle office procurement, supply management, and vendor negotiations.
- Oversee facility maintenance, including security upgrades and access management.
- Organize company-wide events, including holiday celebrations and team-building activities.
- Maintain executive calendars and coordinate high-priority projects.
- Optimize operational workflows to improve team efficiency and reduce administrative bottlenecks.
- Conduct research for leadership on legal, operational, and strategic business matters.
Recruitment & Hiring
- Manage job postings, resume screening, and initial candidate assessments.
- Coordinate interviews and hiring processes with department heads.
- Assist in structuring employment offers, drafting contracts, and negotiating compensation.
- Ensure hiring practices align with company policies and legal standards.
Skills & Competencies
