Job Summary:
The Medical Office Manager coordinates and directs the clinical, operational, and program activities on a day-to-day basis to ensure the delivery of patient centered quality care for Agape Community Health Center, Inc. (Agape) patients. This person will lead and supervise support staff to ensure that financial and productivity goals are met. Additionally, this person will provide outstanding service along with the Chief Operating Officer (COO) by assuming responsibility for the overall patient experience as it relates to the clinical operations.
Essential Duties and Responsibilities:
- Manage clinical operations including but not limited to staffing schedules and patient flow.
- Build strong positive communication with patients, physicians, and support staff, and works as a team to enhance the success of Agape Clinics.
- Establishes accountabilities and performance goals and provides counseling, coaching, feedback, recognition, training, and development to staff.
- Assists with the development and management of the operating budget; maintains fiscal control of assigned clinics.
- Lead regular team meetings and review departmental progress in meeting goals.
- Build a culture of teamwork and cooperation.
- Exhibit a high degree of professionalism when interacting with patients, families, and other healthcare professionals.
- Adjust schedules to fluctuate peaks in patient flow, acuity, and other operational demands while maintaining quality.
- Interpret regulations, and/or policies for employees.
- Manage priorities and workflow in changing environment among assigned clinics.
- Ensure that the clinic meets its financial, productivity, and quality goals (number of visits/years, revenue/visit, procedures/visit, visits/provider).
- Hire, onboard, train, supervise, and manage clinical and non-clinical personnel.
- Develop a monthly schedule for staff that maximizes efficiency and always ensures adequate coverage.
- Administer the inventory control system for supply ordering and tracking. Respond to, track patient complaints, and report adverse incidents.
- Reviews daily provider schedules to ensure maximum utilization. Analyze reports (daily, weekly, and monthly) to monitor productivity (number of visits, quality metrics, etc.)
- Hold regular staff meetings and one-to-one supervision meetings
- Plans, evaluates, recommends, and implements new initiatives when appropriate.
- Ensures that all clinical support staff are informed of any process or policy change affecting the delivery of patient care.
- Ensures compliance with legal issues including but not limited to patient confidentiality and risk management; ensures compliance with federal, state, and local regulations and FQHC regulations.
- Ensures that all safety and quality standards are maintained at each clinical location.
- Other duties as assigned.

Education and Experience Requirements:
- High School Diploma or GED required
- Associates or bachelor’s degree preferred or a minimum of 2 years of leadership experience in a medical office setting.
- 3 years of physician office management experience.
- 1 year of leadership experience in a medical office setting.
- Bilingual Spanish preferred
