What are the responsibilities and job description for the Part-time Administrative Assistant position at Agassiz Village?
The Part-Time Administrative Assistant will support the organization’s operational and fundraising efforts. This role requires flexibility, attention to detail, and the ability to manage multiple tasks. The ideal candidate will thrive in a hybrid work environment, balancing remote work with onsite responsibilities in Poland, Maine.
Key Responsibilities:
1. Donation Management: Enter all donations into the Bloomerang donor database and ensure records are accurate and up to date.
2. Donor Acknowledgement: Generate and send thank-you letters to donors in a timely manner.
3. Fundraising Support: Assist with organizing and executing fundraising events, including soliciting donated items for silent auctions at events such as Maine Course.
4. Camper Registration: Support families with summer camp registration by responding to phone calls from parents, helping parents complete online registration materials in the CampBrain database and collect and organize required paperwork. Create reporting and data tools that will inform new strategies for engaging and retaining youth/families. Attend youth camper registration fairs in-person when necessary representing Agassiz Village and enrolling children on the spot.
5. Answer Phone Calls: Support phone calls and correspondence from constituents about youth services.
6. Invoicing and Payments: Send invoices for events such as golf outings, Maine Course, and rentals; follow up to ensure payments are received.
7. Rental Support: Serve as the onsite Wedding and Rental Coordinator for seasonal weekend events, ensuring smooth operations and excellent customer service. (May 1-June 15 & August 15-October 15)
8. Administrative Support: Perform additional administrative tasks as needed to support the team.
Qualifications:
· Strong organizational and communication skills.
· Proficiency in donor management systems (experience with Bloomerang is a plus).
· Ability to work both independently and as part of a team.
· Flexibility to work onsite in Poland, Maine, and remotely as needed.
· Willingness to work occasional weekends for wedding rentals.
· Fluency in another language is a plus.
Compensation:
This is a part-time position with flexible hours ranging from 15-20 hours per week. Compensation will be based on experience.
