Position Summary:

Receives and routes incoming calls, greets visitors, and provides general information and assistance to the public. Receives incoming mail and routes assists in preparation and distribution of company materials; performs routine office support functions.

Essential Functions:

  • Receives and screens all incoming calls & routes calls to the appropriate personnel. Greets and welcomes visitors courteously and promptly. Provides general information & guidance to callers & visitors.
  • Prepares and disburses mail. This includes putting the mail into the envelopes and providing the checks to the outsourced mail provider.
  • Provides clerical support (scanning, word processing, faxing, copying, data entry, mailings) to administrative staff.
  • Orders office supplies, calls for service on business equipment and communicates with other facility-related vendors as directed.

Other Duties:

  • Assist Customer Service with other duties as requested.
  • Other duties as necessary.

Education:

  • High school Diploma

Experience:

  • Minimum 1-3 years of receptionist, clerical or administrative support position in an office environment is required or a combination of related education and training.
  • Previous experience using multi-line telephone system.

Skills:

  • Excellent telephone and customer service skills
  • Basic skills in Microsoft Office applications including Outlook, Word, Excel.
  • Excellent verbal and written communication skills
  • Attention to Detail: Accuracy in tasks such as data entry, scheduling, and message tasking.
  • Problem Solving: Ability to handle unexpected situations and find solutions quickly
  • Interpersonal Skills: Ability to work well with others and build positive relationships within the cooperative.
