Agilix Solutions is seeking a dedicated and experienced Receptionist/Switchboard Operator to join our team at our Memphis, TN office. This is an onsite position that requires handling a high volume of calls and performing general clerical duties. The ideal candidate will have excellent communication skills, experience with phone systems, and proficiency in Microsoft Word and Excel. The successful candidate will thrive in a fast-paced environment and enjoy interacting with multiple departments, customers, and vendors.
This role will report to the Vice President of Branch Support Services.
Responsibilities
- Answer and direct incoming calls via a phone system (multi-line switchboard).
- Provide exceptional customer service to callers and visitors.
- Distribute and track incoming faxes.
- Sort and distribute incoming mail.
- Maintain and update the company phone list with new hires and terminations.
- Greet and direct visitors to the company.
- Take and retrieve messages for various personnel.
- Provide information to callers, such as company address, directions, fax numbers, and website details.
- Coordinate events, including meeting room scheduling, meeting room preparation, and meal planning.
- Manage the supply closet and order office supplies.
- Daily Post Office and Bank runs.
- Run reports utilizing Microsoft Excel spreadsheets and Microsoft Word.
- Memphis inventory card reconciliation.
- Scan invoices and other documents to the accounts payable and accounts receivable departments.
- Assist with marketing and counter campaigns for the Memphis branch.
- Assist with additional administrative tasks as needed.
Qualifications
- Proficiency in Microsoft Word and Excel; experience with Agilix-specific software is a plus.
- At least 1 year of administrative experience in an office environment.
- Excellent organizational skills with the ability to prioritize tasks and complete projects in a timely manner.
- High school diploma required; additional qualifications are a plus.
- Previous receptionist experience is preferred.
- Strong dependability and communication skills.
- Collaborative team player with a customer-focused approach.
- Ability to handle confidential information with discretion.
Required Work Hours
- Monday to Friday, 8:00 AM – 5:00 PM (1-hour lunch break)
