Summary:
This position will serve as a receptionist and office assistant and will assist the Administrative Department through the provision of administrative support activities. Including but not limited to answering the main multiline telephone, sorting incoming mail for inter-departmental deliveries, and greeting customers, clients and other visitors to our main offices. As this person will serve as a first point of contact for those requesting services through our Agency, the ideal candidate will also need to have a basic understanding of our services.
Pay: $16.00 per hour
Schedule:
- 8-hour shift
- Monday to Friday; 8:00am-4:30pm

Qualifications/Requirements:
- Requires a minimum a High School Diploma or GED
- Proficient in Microsoft Office Suite (Outlook, Word, etc.)
- Strong phone etiquette and communication skills are essential
- Must submit to Level II DOEA background and drug screening.
- Previous receptionist experience is preferred but not required
Essential Functions:
- Manages a multi-line telephone system. Receives and route calls, take messages and provide information to callers as assigned.
- Type and file correspondence, verify receipt of information, make copies and fax information to assist the client in accessing services.
- Input and maintain data of DOEA service units for senior centers into ServTracker and Sharepoint.
- Responsible for sorting and distributing incoming mail as well as completing mail run assignments.
- Greets all visitors courteously, determines their needs, and directs them to the proper person and/or office.
- Maintain Staff Directories
- Assists other departments as requested or assigned.
- Performs related duties as required.
- Cross train with other clerical position duties as necessary and back up Executive Assistant to the Director of Senior Services as needed
- Oversee front desk volunteer.
- Order and maintain appropriate levels of forms and office supplies.
Other Duties and Responsibilities:
- Attends meetings and trainings as required.
- Complete other projects as assigned such as client statistical research, serve as back-up in case of illness, vacation, etc.
- Other duties as assigned by supervisor.
Working Conditions/Physical Requirements:
- Monday through Friday; 8:00am-4:30pm
- Due to circumstances that may arise, overtime may be required at times. In all cases, overtime must be pre-approved by your supervisor.
- Must be able to remain in a stationary position in a stationary position up to 90% of the time. Requires sitting at a computer for up to eight hours a day.
- The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
- Frequently operates a computer and other office productivity equipment such as a calculator, copy machine and computer printer.
- The person in this position frequently communicates with office staff who have inquiries or questions. Must be able to exchange accurate information in these situations.
