What are the responsibilities and job description for the Collateral Records Specialist position at AgSouth_Farm_Credit?
We are seeking a Collateral Records Specialist to join our Farm Credit family! This position assist in coordination and maintenance of the Association’s collateral records process and is responsible for classification, accurate and timely filing, retrieval on request and disposal of materials related to the Association’s Collateral Vault files. This position is also responsible for orderly receipt, retention, protection and returning of collateral documents and files for AgSouth’s loans.
Responsibilities
Collateral Document Management: Monitors collateral submissions and mail for incoming collateral documents and validate all documents have been received. Logs collateral into the Collateral Database and stores original paper documents in the collateral vault. Reviews collateral instruments for completeness and execution.
Collateral Records Retention: Monitors expirations and properly documents all continuations. Monitors paid out reports and requests Lender’s authorization for handling of collateral instruments. Handles cancellations and releases of security documents per Lender authorization. Paid out notices and satisfactions are sent timely to the appropriate parties.
Collateral Records Safeguarding: Ensures original paper collateral documents are stored securely for the duration of the loan in the collateral vault. Ensures files are always secure with authorized only access. Follows procedures to ensure that records are adequately protected and available during the necessary period, and that the approved records retention program has been enforced. Ensures that internal controls are maintained in accordance with collateral policies and procedures. Ensures system integrity of collateral data in the Collateral Database.
Other Duties as Assigned/Personal Employee Development: Other duties and responsibilities as assigned, which may include specific projects. Participate in continuous learning activities to sustain knowledge of the industry, management practices, and Association policies, procedures, and guidelines.
- Education and/or experience equivalent to a High School Diploma
- 3 – 5 years of related work experience
