With our growing clientele our business is elevating, and we’re looking for you to join our team! We are a design build General Contracting firm based on the Northshore. We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide comprehensive support to ensure the smooth operation of our Highland Park office. The ideal candidate will show professionalism, excellent communication skills, the ability to multitask, and a proactive approach to problem-solving.
Key Responsibilities:
- Handle general office tasks and administrative duties
- Order and maintain office supplies and equipment
- Assist with identifying business requirements for goods, materials, and services
- Help find reliable suppliers and contractors to meet these requirements
- Negotiate prices and delivery terms
- Make bid requests on contracts
- Issue purchase orders
- Coordinate delivery and storage operations
- Assist with scheduling subcontractors and assuring compliance
- Light bookkeeping - (quickbooks proficiency preferred)
- Maintain working budgets for active projects and reconcile when complete
- Welcome and assist visitors
- Assist with special projects and other duties as assigned
- Social media - posts and upkeep of website
Qualifications
- Highschool diploma or equivalent; associate degree or higher preferred
- Proven experience as an administrative assistant or in a similar role
- Proficiency in Microsoft office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Excellent written and verbal communications skills
- Ability to work independently and as part of a team
