Position: Financial Assistant
RESPONSIBILITIES
Responsibilities of the Financial Assistant include, but are not limited to:
· Prepare and submit grant funding reimbursement requests to outside funders, providing proper documentation to ensure prompt payment.
· Administer the accounts payable process, ensuring accuracy in the coding of invoices and check payments.
· Correspond with landlords and vendors; respond to inquiries to resolve billing discrepancies.
· Monitor and track outstanding receivables and reimbursements.
· Organize filing system, maintain vendor records and update organization and vendor records as needed.
· Coordinate with HOPWA staff to ensure appropriate flow of housing funds.
· Review financial transactions and accounting of grant disbursements to ensure compliance with federal and state accounting and procurement standards.
· Maintain time reporting system to allocate payroll expenses to various funding sources and programs.
· Prepare standard and custom reports and conduct various detailed financial analysis on a monthly, quarterly, and annual basis for management, the Board of Directors and outside funding agencies.
· Assist with implementing and maintaining internal financial controls and procedures.
· Assist with annual year-end audit process and provide documentation in response to requests for financial information.
· Prepare analytical reports of various housing projects and expenses to ensure proper allocation of project disbursements to various grants, loans or internal funding resources.
· Analyze financial information to recommend or develop efficient use of resources and procedures, provide strategic recommendations, and maintain solutions to business and financial problems.
· Quality Assurance for supporting documentation in state database.
· Assist case managers with voucher entries and progress notes in state database.
KNOWLEDGE, SKILLS, and ATTRIBUTES:
· Proficiency with Microsoft Excel is required.
· Experience using QuickBooks or other accounting software is preferred.
· Working knowledge of fund accounting principles pertinent to non-profit and governmental accounting preferred.
· Previous federal and state grant experience desired, preferably in the housing industry.
· Ability to work independently while managing multiple projects with committed deadlines.
· Excellent written and verbal communication skills.
· Highly organized and detail-oriented.

Salary: $31,000 - $32,000.00
