AIDT at the Bill Taylor Institute in Vance, AL is seeking a full-time Pre-Employment Program Coordinator/Database Administrator.

This is NOT a remote position.

SYNOPSIS
Monitors, supports and processes all phases of the Pre-Employment Program. Provides specific database administrative support and training coordination, for the Institute’s internal and external staff and customers.
Duties and Responsibilities
General Duties:
- Administer job-relevant databases and spreadsheets, including AIDT Pre-E database.
- Send electronic or digital invitations, process online applicant information, maintain appropriate documentation and track for all Pre-Employment phases
- Answer and make telephone calls to support all pre-employment, assessment and recruitment initiatives
- Conduct pre-screening phone call interviews
- Proctor and score assessments using an electronic device, iPad or manual paper form.
- Provide orientation Information to new applicants or newly hired team members
- Coordinate supplies/equipment required for classroom & workstation development and maintenance
- Act as liaison to applicants while they are entered in the Pre-Employment program or New Hire Orientation
- Coordinate the maintenance on all Pre-Employment workstations and associated equipment
- Help ensure ISO documentation for AIDT Process and participates in audits as necessary
- Work flexible hours, as job dictates
Assessor Duties:
- Person in this role must be willing to learn and be able to perform the following:
Wheel Mount Workstations in order to provide administrative support and support, as a team lead:
- Plate Mount Workstations
- Grommets/Clips Mount Workstations
- iPad Grading
- Manual Grading
- Other, as assigned
Administrative Duties:
- Maintain high level of confidentiality in regard to applicant files
- Maintain and monitor applicant roll sheets
- Ensure all assessment documentation is accurate and complete at end of each day
- Provide administrative assistance including, but not limited to, typing, copying, editing, processing, categorizing, scanning, and filing
- Create selection system reports, graphs, charts, as they progress through the Pre-Employment program

- Comply with all policies and procedures regarding punctuality, attendance and workplace ethics.
- Communicates professionally with staff, company representatives, government officials, and the general public.
- Contributes to and extracts from the information flow of the Institute using automated tools.
- Plans daily/weekly work schedule without direct supervision.
- Coordinates and accounts for AIDT resources within assigned area(s) of responsibility.
- Perform all duties, as assigned, with a positive attitude, communicating professionally and respectfully at all times to reflect a positive AIDT image.
Required Knowledge, Skills, and Abilities
- Credible knowledge and experience using MS Office Suite, with proficiency in Excel and ability to use MacIntosh operating system.
- Demonstrated ability to function in an automated work environment using computer systems, copiers, electronic mail, and telephone systems.
- Knowledge of generally accepted office practices and processes.
- Skill in reading, writing, spelling, punctuating, and editing of work
- Ability to communicate effectively – verbally and in writing.
- Ability to work independently and willingness to work well with others as part of a team effort, as needed.
- Ability to interact professionally with company representatives, public officials, trainees, coworkers, and the general public.
- Ability to set and meet deadlines and handle multiple administrative functions concurrently.
- Ability to follow established laws, policies and procedures.
- Ability to work in a constant state of awareness.
- Regular, predictable, punctual attendance is an essential function of the job.
Required Minimum Qualifications:
Minimum two years’ experience in appropriate area of specialization; or Baccalaureate Degree from a duly accredited institution required; or two-year degree in specialization and one year industry or industrial training experience.
Salary and General:
Initial placement will be based on experience and education applicable to the C-3L salary schedule, within a range of $60,226 – $78,909. Paid monthly. Excellent benefits package included.
Criminal Background Check:
The applicant chosen for employment will be required to sign a Criminal Background Check consent form and to submit a nonrefundable $26.98 payment for the cost of the criminal background check. (Note: $26.98 fee is based on possession of an Alabama Driver’s License. The fee for the background check may be more or less if the driver’s license is not an Alabama license.) Permanent employment will be contingent upon the results of the criminal background check.
