We are currently hiring for the position of Funeral Home acase Manager/ Intake Coordinator. The Funeral Home Case Manager/Intake Coordinator must be an energetic, detail-oriented self-starter. In addition, the Funeral Home Case Manager/Intake Coordinator must be compassionate, sympathetic, comfortable working in direct contact with deceased human remains; empathetic working with people grieving from the loss of a loved one, and possess great communication skills.
The Funeral Home Case Manager/Intake Coordinator serves as the first point of contact with client-families, guests, vendors, and visitors to the funeral home; is responsible for answering telephones and greeting visitors in a professional manner; ensuring the funeral home is “walk-in ready” at any given time.
Provide administrative support for funeral directors and managers regarding memorilization, including: creating/designing and printing memorial books, acknowledgement cards, memorial folders, stationery, bulletins, video tribute videos, etc.
Bilingual is a plus!
JOB RESPONSIBILITIES:
- Answer incoming calls and provide service, pricing, and general information
- Update and maintain Family Assistance schedule and staff calendar
- Turn on lights, open blinds and ensure lobby areas, conference and reposing rooms are dry, orderly, clean and sanitized
- Meet, greet, and direct client-families, visitors, and guests to the proper area for their purpose
- Assist with strategizing digital media campaigns aligned with business goals
- Assist in the creation of digital content (e.g. website, blogs, press releases and podcasts)
- Serve as liaison between the funeral home and social media management companies
- Responsible for following up with all social media response and enquiries
- Ensure social media sites are updated and managed appropriately
- Monitor survey entries and reviews
- Gather content and publish monthly newsletter
- Assist with established aftercare and community outreach programs
- Maintain multiple tracking systems for accountability of remains (whole and cremated), casket and urn orders
- Receive and Issue death certificates to authorized recipients
- Receive and account for clothing received from client-families
- Typing Newspaper Notices, Funeral Programs, Website Entries, Insurance claim forms, funeral schedules, and other death care related documents
- Ensure the accurate completion and electronic entry of death certificates and other vital documentation
- Place orders from third party agencies in support of client family wishes
- Coordinate with cemeteries, physicians, florists, casket companies, printers and other agencies in accordance with the wishes of client families
- Responsible for funeral home logistical operations, including the ordering and accountability of office supplies and equipment
- General office duties such as filing, faxing, scanning, etc.
- Receive and distribute all incoming mail and shipment
- Assist in the preparation of video tribute/DVD presentations
MINIMUM EDUCATION REQUIREMENTS: Bachelors degree from an accredited college or university.
- Experience: Minimum 2 years administrative assistance experience
- Certification/Licenses: Must possess a valid State of Florida Driver’s License and a great driving record
- Knowledge, Skills and Abilities: Must possess good communication skills; basic knowledge of computers and some software including MS Office suite; ability to prioritize tasks, manage risks and delegate responsibly; must pay strict attention to detail
- Other Requirements: Available for flexible scheduling, to include working weekends and evening
