General Description of Duties and Responsibilities:
The Operations Manager, who is experienced and organized, will oversee AIMED's office and residential site operations and work closely with the Chief Administrative Officer. This role requires building strong relationships within the agency and regionally. A thorough understanding of various operational processes, licensing, and compliance is essential due to the wide-ranging responsibilities. The ideal candidate has experience in residential care for individuals with an intellectual disability.
Duties and responsibilities:
- Operationally manage the corporate office, grounds and residential homes.
- Ensure the office supplies are inventoried and manage ordering when necessary.
- Manage both regions large purchases for office and homes.
- Manage front office.
- Assist in the identification and approval of new sites.
- Knowledge of Office of Developmental Disabilities Everyday Lives and mission.
- Knowledge of 6400/6500 and chapter 51 Regulations, license and non-license programs.
- Assist for County Quality Assurance and Improvement (QA&I).
- Knowledge and understanding of HCSIS and investigative reporting.
- Become a Certified Investigator.
- Manage and implement operational plans agency wide.
- Possess effective supervisory skills and always maintain clear professional boundaries.
- Responsible for Health and Safety and risk mitigation across the agency.
- Ensure the health and Safety committee is developed and meetings are held and tasks assigned.
- Oversee vendor contracts and agreements.
- Manage vendor invoices and submission.
- Responsible for the mastery of all AIMED software platforms and provide support and direction when necessary. Must be fluid in the knowledge of how these platforms function and able to problem solve when necessary.
- Manage new hires computer profiles and register on all platforms.
- Manage relationships/agreements with external partners/vendors.
- Evaluate overall performance by gathering, analyzing and interpreting data and metrics.
- Ensure the fleet is organized and managed effectively.
- Manage vehicle insurance claims, vehicle registration, preventative maintenance and purchasing.
- Point of contact for the maintenance department and any needs.
- Continue to improve our maintenance care platform and ensure the agency team is aware of how to use it.
- Thorough and in-depth knowledge of all department functions.
- Roll out new projects and assignments as assigned.
- Proficient with learning systems and submitting reports.
- Act as backup for new hire orientation introduction
- Available for after hour/weekend calls regarding maintenance when needed.
- Other duties as assigned.
Qualifications
Bachelor’s degree in business operations from a recognized institution and/ or associate’s degree and 5 years of demonstrated experience in operational functions.
Ability to multitask and handle unexpected events with professionalism.
- Demonstrated leadership and teachability.
- Knowledge of government contract management and knowledge and experience in organizational effectiveness and operations management implementing best practices.
