Minimum Hiring Annual Salary:
$52,612.00Maximum Hiring Annual Salary:
$55,243.00To attain the maximum annual salary, employee must meet all minimum qualifications plus:
- 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.
- A combination of related education, on-the-job work experience, certifications and/or licenses that results in a candidate successfully meeting the minimum qualifications of the position, may be considered.
The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

The Human Resources Specialist I is a multifaceted role responsible for providing exceptional customer service, managing the full lifecycle of part-time employment administration; including hiring manager training, and ensuring accurate data management within the HRIS system.This position serves as the primary point of contact for internal and external customer inquiries, offering guidance on Human Resources policies, procedures and practices. They manage the end-to-end hire process for part-time employees, including job posting requisition creation, pre-employment screening, I-9/E-Verify compliance and onboarding. They will also be involved in conducting HRIS system audits, assisting with process improvements, and special projects as needed. This position requires meticulous attention to detail, strong organizational skills, and a commitment to maintaining confidentiality and compliance with all applicable regulations. This role will require occasional travel.
Customer Service:
- Serve as the primary point of contact for internal and external customer inquiries, resolving issues via email, phone, and in-person interactions.
- Direct customers and stakeholders to appropriate resources within the Human Resources department and across campus, ensuring efficient and accurate information flow.
- Act as a knowledgeable resource on Human Resources policies and procedures, providing guidance and support to employees and hiring managers
- Maintain a high level of customer satisfaction by providing timely and accurate responses.
Employment Administration:
- Manage the end-to-end hire process for part-time employees within the HRIS system, from job posting requisition creation to onboarding..
- Collaborate with hiring managers to develop accurate job requisitions for part-time positions.
- Deliver new hire communication, ensuring a seamless onboarding experience for selected candidates.
- Execute pre-employment screening processes, including background checks, drug screens, MVRs, and physicals, ensuring compliance with legal requirements.
- Process I-9 and E-Verify documentation accurately and efficiently.
- Accurately enter and maintain employee data in the HRIS system.
- Oversee the completion of new hire onboarding tasks, ensuring all required documentation, processes and forms are completed.
- Manage the process for temporary employee requests, verifying minimum qualifications and facilitating candidate clearance.
- Serve as the primary liaison with temporary staffing agencies.
- Coordinate with payroll to ensure timely and accurate processing of employee payments.
- Collaborate with the Compensation Analyst to provide recommendations for part-time job classifications and compensation.
Data Management/HRIS System
- Maintain strict confidentiality of employee records and sensitive information.
- Establish and manage a robust record retention system for both paper and electronic files, ensuring compliance with data privacy regulations.
- Conduct regular audits of employee data and files within the HRIS system, identifying and resolving discrepancies.
- Utilize the HRIS system to retrieve, verify, and analyze employee data
- Provide accurate and timely verification of employment information to authorized parties.
- Maintain organized and up-to-date records of part-time job requisitions and candidate information.
- Conduct thorough testing of HRIS system processes, identifying and reporting any issues or areas for improvement.
- Recommend and implement process improvements to enhance the efficiency and effectiveness of HR operations.
Training & Other Duties as Assigned:
- Conduct training sessions for hiring managers on recruitment and onboarding processes within the HRIS system.
- Develop and maintain the 'Human Resource Specialist Resource Guide,' ensuring it remains current and accessible.
- Create and update HRIS training job aids and documentation, facilitating user proficiency.
- Assist with special projects as directed or assigned by supervisor.
Other Duties as Assigned
Minimum Qualifications:
- Bachelor's Degree; plus, one (1) year of related experience.
OR
- Associate's degree, plus three (3) years of related experience.
OR
- No degree, five (5) years of related experience.
Plus
- Ability to perform duties in a professional manner; demonstrate critical thinking and analytical skills; ability to maintain confidentiality.
- Ability to accurately and consistently interpret and communicate policy, procedure and law.
- Working knowledge of integrated HRIS system and Microsoft Office suite.

Preferred Qualifications:
- Prefer experience with administering FMLA, ADA, Worker’s Compensation, and benefits.
- Experience processing new hires, including, but not limited to: I-9 verification/validation.
- Experience in a full support Human Resources department.
- Experience with large integrated database systems (HRIS); preferably Workday.
- Experience with dealing with difficult customers.
- Ability to build and maintain rapport and relationships with internal and external customers.

Salary : $52,612 - $55,243
