Job Summary
Quotations Specialist will play a vital role in supporting our sales team by preparing accurate and comprehensive quotations for our BAS projects. Optimizing program delivery and communication to improve client relationships. The ideal candidate will have a strong operational background with experience in delivering and managing services in the HVAC/R, BAS, and Mechanical Industries.
Key Responsibilities
- Review project specifications, drawings, and other relevant documents to understand customer requirements.
- Conduct thorough material take-offs and compile comprehensive lists of required HVAC/BAS equipment, components, and supplies.
- Utilize industry-specific software and tools to calculate costs, including labor, materials, subcontractor services, permits, and any other project-related expenses.
- Research and select appropriate suppliers/vendors, negotiate pricing and terms, and maintain a strong network of reliable partners.
- Create detailed and accurate quotations that align with customer expectations, company pricing strategies, and profitability goals.
- Ensure timely submission of quotations to the sales team and provide any necessary clarifications or revisions.
- Collaborate with sales representatives, engineers, and project managers to gather information and clarify requirements.
- Work closely with the purchasing department to obtain accurate pricing for materials and equipment.
- Coordinate with subcontractors and external suppliers to obtain pricing, specifications, and availability of products or services.
- Assist in the development and maintenance of a centralized quotation database, ensuring all relevant information is up-to-date and easily accessible.
- Stay updated on industry trends, new products, and technologies related to HVAC/BAS systems.
- Maintain a strong understanding of mechanical systems, including HVAC equipment, controls, sensors, actuators, and related components.
- Interpret and apply applicable building codes, regulations, and industry standards in quotation development.
- Provide technical guidance and support to the sales team during customer meetings or presentations.
Qualifications
- Extensive experience in preparing quotations or cost estimates for HVAC/BAS projects, preferably in a senior or lead role.
- 5 years experience in leadership roles in the industries of HVAC/R, BAS, and Mechanical
- Understanding Building Systems in facilities management/service operations is an asset.
- Demonstrated ability to communicate, present and influence credibly and effectively at all levels of the organization.
- Experience in delivering client-focused solutions based on customer needs.
- Proven ability to manage multiple tasks at a time while paying strict attention to detail.
- Excellent listening, negotiation, and presentation skills.
- Ability to work independently and manage personal and team member time, keeping deliverables and deadlines top of mind.
- Creative thinking and problem-solving aptitude
- Proficiency with MS Office applications; Word, Excel, and PowerPoint are essential.
