Overview
We are seeking a dynamic and detail-oriented Event Coordinator to join our team. The ideal candidate will be responsible for planning, executing, and overseeing a variety of events, ensuring that each occasion runs smoothly and meets the expectations of our clients. This role requires strong organizational skills, creativity, and the ability to manage multiple projects simultaneously in a fast-paced environment.
Duties

- Calendar updates
- Working weekends and evenings
- Reservations and contracts
- Scheduling
- Set up and clean up for events
- Coordinate all aspects of event planning including facility selection, food/menu, guest services, and logistics.
- Develop and manage event budgets, ensuring all expenses are tracked and controlled.
- Negotiate contracts with vendors and suppliers to secure the best rates and services.
- Collaborate with clients to understand their vision and requirements for each event.
- Implement marketing strategies to promote events and enhance attendance.
- Oversee on-site event execution, ensuring all details are handled efficiently.
- Provide exceptional guest services before, during, and after events to ensure client satisfaction.
- Conduct post-event evaluations to assess successes and areas for improvement.
Experience
- Proven experience in event management or coordination is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Experience in budgeting and financial management related to events.
- Familiarity with hospitality industry standards and practices is a plus.
- Ability to upsell services and enhance client offerings through effective negotiation skills.
- Knowledge of catering services and vendor management is advantageous.
- A passion for creating memorable experiences through well-executed events.
