Key Responsibilities:
- Government & Local Agency Contracts: Assist in managing the preparation, submission, and ongoing maintenance of government and local agency contracts, ensuring timely compliance with all regulations
- Support for Account Managers: Provide essential administrative support to account managers by organizing job schedules and communicating updates to clients
- Invoicing and Documentation: Prepare and manage invoices related to government contracts and service agreements, while maintaining accurate records and documentation
- Administrative Support: Handle routine office tasks such as answering phones, emails, organizing supplies, and managing office facilities as delegated by management
- Proven experience in an administrative or support role, with exposure to government contracts or the HVAC/refrigeration industry a plus
- Experience with prevailing wage is preferred
- Strong organizational and multitasking skills with a focus on project management and execution
- Excellent written and verbal communication abilities
- Proficiency in Google Suite (Docs, Sheets, Slides) and experience with CRM or contract management software
- High levels of responsibility, integrity, and accountability in managing tasks and client relations
- Ability to work independently and collaboratively in a fast-paced environment
- Professionalism and attention to detail in handling sensitive information and documentation
